Editing User and Contact Details

Easily manage and edit user and contact details in Productive, including permissions, contact info, tags, and custom fields.

In Productive, managing people is simplified through clear classifications: Employees, Contractors, Clients, and Contacts.

These categories help you organize relationships, manage access levels, and ensure your team functions efficiently.

Users vs. Non-Users

Users:

  • This includes EmployeesContractors, and Clients who have login access to Productive.

  • Employees and contractors are part of your organization and count as paid seats. Clients, while external to your organization, also have login access but do not count as paid seats.

Non-Users:

  • Contacts are individuals without login access. They serve as a repository for contact information and notes and can be converted to Users if needed.

How to Edit User and Contact Details

To edit a user's or contact details:

1) Access User or Contact Settings

  • For Employees and Contractors, go to Resourcing > Employees or use the search function (ctrl+S) to find the user you want to edit.

  • For contacts and clients, navigate to CRM > Contacts and select the contact you need to edit.

2) Available Editing Options

  • Contact Info
    Click on the user's email address and then select "+ Add field" to add additional email addresses, phone numbers, websites or physical addresses for the user or contact.

  • Login email address

    To adjust the user's login email address, select the three-dot menu to the right > Edit profile, or click on their name directly.

    Important: You can change another user's login email only if they have not accepted the invitation to Productive. Otherwise, they need to do it themselves.

  • Subscribers
    Manage who receives notifications for updates to this user’s profile, such as changes to their manager, email, subsidiary, cost rate, or the addition of new employee fields.
    Tip: Any updates that appear in the user's Feed section in the Activity tab, like profile edits, will trigger a notification for the subscriber.

  • Resend Invitation
    If a user didn’t receive their invite, click Resend Invitation.

  • Edit Job Title
    You can edit the job title, which is specific to your organization. While changes to the name and email will be reflected across all organizations the user is a member of, changing the job title will only affect the profile within the organization you are currently editing.

  • Workplace
    Set or change the workplace (subsidiary) the user is associated with.

  • Permission set
    Adjust what the user can see and do in Productive.

  • Edit Manager
    Assign a manager to this user. This will be shown in the org chart.

  • Service Types
    Assign specific service types to users to track time and logging expenses.

  • Team Assignment
    Add or remove users from teams.

  • Tags
    Add tags for easier filtering and organization.

  • Automatic Time Tracking

    If automatic time tracking is enabled for the organization, switch it on for the user here if needed.

  • Employee Fields
    Apply any relevant employee fields set up in Settings > Employee fields for Employees and Contractors or Settings > Custom Fields > Contacts for Clients and Contacts.

Additional Actions and Details

Open the three-dot menu to the right to access additional actions and details you can adjust for the user.

  • Edit Profile
    Modify the user's name, surname, avatar, or login email address. You can access the same editor by clicking the user's name directly.

    Important: You can change another user's login email only if they have not yet accepted the invitation to Productive. Otherwise, they must update it themselves in the same place.

  • Edit Nickname
    Add a nickname for easier communication across the app.

  • Deactivate Person
    Remove the user from your active list. Once you deactivate a user, they will no longer be able to log into Productive. If you change your mind, you can activate the user again in their profile.

    Note: Deactivating the user will not automatically change the number of total seats in your subscription.
    To manage your total seat number go to Settings > Billing.

  • Unlock Time Tracking
    Allow time entries outside of the locked period.

  • Revoke Login Access
    Temporarily disable a user’s ability to log in. This action doesn't affect seat count and you'll be able to reinvite the user at any time.

Docking the Profile Overview

When you click on a user's profile, it opens in a docked side window on the right side of your screen, allowing you to stay on your current page.

This lets you view and switch between multiple profiles without losing track of your work in the background, which is particularly useful when updating details for more than one user.

For a more detailed view, you can expand the profile to fullscreen with a single click.
