Viewing User Details
To quickly access detailed information about your Employees, Contractors, Clients, or Contacts in Productive, you can follow these simple steps:
Finding User Details
1) Search
Start by typing the user’s name into the Search bar (Ctrl+S).
2) Employees and Contractors
Go to Resourcing > Employees.
3) Contacts and Clients
Navigate to CRM > Contacts.
4) Employees, Contractors, and Clients
Access through Settings > Users.
User Details Overview
On a user’s or contact's profile page, you can view a range of details, depending on your permission level. These details are organized into several tabs.
Info tab
Contains essential information about the person, including their employee details (job title, subsidiary, permission set, manager, assigned service types, teams, tags, and information about automatic time tracking), their employee contact information (physical address, phone number, website, additional email address), and any employee fields they have been assigned.
📌 The Info tab is visible only to users viewing their own profile.
To view others' Info tabs, users must have Admin, Manager, or Coordinator default permissions, the custom "View employees and contractors" employee permission, or "View contacts" and "View clients" custom contact permissions.
Time tab
The Time tab consists of two sections — Overview and Time entries.
The Overview section displays your capacity, availability, scheduled time on projects and events, and total worked time for the selected period.
The Time entries section shows your time entries. You can group time entries by days, services, or tasks, select a time interval or use any of the filtering options available.
If you have sufficient permissions, you can make corrections or delete a time entry, by clicking on the "..." menu next to the entry.
To export time entries, click on the export button and select a format (XLS, PDF, or CSV).
Planning tab
Shows the person's bookings and capacity, filtered to that person only. You can't change the filter or layout.
Loads the same view as Resource Planner > By Person, scoped to this profile.

📌 The Planning tab appears on every bookable person (Employee or Contractor), including deactivated or archived ones. Placeholders don't have a profile, so they don't have a Planning tab.
Absence tab
Displays available time off and remote work allowances, including upcoming and past absences.
Admins can allocate time off or remote work through the + Add allowance option.
Activity tab
The Activity tab consists of three sections — Work Log, Feed, and Emails.
The Work Log section shows a chronological log of all activities performed by the user in Productive, except for activities related to private tasks (unless you have access).
Click on the 'Show: All' dropdown to open the filtering options, allowing you to quickly find the information you need.
Similar to the Work Log, the Feed section displays additional changes and updates related specifically to this person.
Any subscribers added here will receive notifications about comments left in the feed or crucial updates about this user (permission set changes, addition of employee fields, cost rate updates, login email changes).
The Emails section shows every email associated with the person that has been filed in Productive. This includes:
Emails sent directly by the user.
Emails received via BCC from others.
Email inbox(es) and the BCC inbox can be accessed under the mail icon in the top navigation bar.
Org Chart
Shows the user's position within the organizational hierarchy.
To view the entire company structure, go to Resourcing > Employees > Org Chart.
Projects
Lists all projects where the user is a member.
You can also assign the user to multiple projects at once from this tab.
Cost Rates
Accessible only to Admins and users with the View all users' cost rates or View personal cost rates permissions, this tab contains and allows adjustments to the user's gross salary information.
