Managing Your Profile

Edit your profile by giving yourself an avatar, changing your name and contact details. Your profile page shows your work log as well.

Click on your avatar image in the upper-right corner to access your profile screen. This is where you can see everything related to you as a Productive user: work log, time entries, emails, cost rate, contact info, projects, and time-off information.

Note that the extent of the changes you can make to your profile depends on your user permissions.

Admins have full access to modify all user details, while Staff users have limited visibility and editing options. If you find a setting or option described in this guide that you cannot access in the app, please contact one of your Admins for assistance.

Editing The Contact Information

Click on the contact info box to edit your contact information. You can add or change your email, phone number, and address.

Changing Your Name

To change your name or avatar, click on your name in your profile.

Adding Subscribers

Add subscribers who will receive notifications when your manager, name, email, or subsidiary is changed, or when a new custom field is added to your profile.

Subscribers are notified of changes recorded in your Feed tab (e.g., adding a nickname won't trigger a notification, but changing your permission set will).

Adding to a Team

Add the user (or yourself) to one or several teams.

Adding Tags and Custom Fields

Create custom fields and apply them to users for easier organization. Only custom fields from the People section can be added to user profiles.

Additional options

Open the three-dot menu to the right to:

  • Access the profile editor.

  • Add or edit the user's job title.

  • Add or edit the user's nickname.

  • Assign service types to this user.

  • Set this user's manager in the org chart.

  • Change the user's subsidiary.

  • Adjust the user's permissions.

  • Deactivate the user (this will not remove the paid seat, but will make the user inactive).

  • Revoke the user's login access temporarily

Docking the Profile Overview

Instead of navigating away from your current page, clicking on a user's profile now opens it in a docked side window on the right side of your screen.

This allows you to view and switch between multiple profiles without losing sight of the main list of users in the background. For a more detailed profile overview, you can expand it to fullscreen with a single click.

Note that Admins have access to all profile options described in the article, while users with lower permissions will have a more restricted overview of their information and account.

Overview Tab

The Overview tab displays the user's capacity, availability, scheduled time on projects and events, and total worked time for the selected period.

Time Off Tab

In the Time off tab, you can view and add entitlements for the time-off categories defined in your organization.

You can view your requested and upcoming time off, as well as past time off in a list or calendar view.

To add a new entitlement category, click on + Add new allocation in the upper right corner. If you don't see a certain time-off category, contact your account admin.

Clicking on Book time off will take you to your time-off calendar to request and book time off.

Work Log Tab

The Work log tab logs everything you do in Productive, such as creating tasks, commenting on deals, and creating budgets.

Events are listed in chronological order. You can filter the data you want to see by clicking on the Show button.

Org Chart Tab

The Org chart tab provides a hierarchical diagram that illustrates the relationships and ranks of employees within your organization.

Time Tab

The Time tab shows the user's time entries. You can group time entries by days, services, or tasks, select a time interval or use any of the filtering options available.

To make corrections or delete a time entry, click on the "..." menu next to the entry.

To export time entries, click on the export button and select a format (XLS, PDF, or CSV).

Feed Tab

The Feed tab shows all changes and updates the user has made in Productive. Use the Show dropdown to filter activities by comments, attachments, changes, or emails.

Emails Tab

The Emails tab displays all emails the user has sent or received in Productive. This includes emails where the user's been CC’d.

Projects Tab

The Projects tab lists all the projects the user is a member of. Admins or Managers can add or remove themselves from projects.

Cost Rates Tab

The Cost rates tab is accessible only to account Admins.

This tab displays the user's cost rate (what your company pays the employee). Admins can edit the current cost rate or set up different cost rates for different time periods by clicking on + Cost rate.
