Managing Your Profile

Edit your profile by giving yourself an avatar, changing your name and contact details. Your profile page shows your work log as well.

Click on your avatar image in the upper-right corner to access your profile screen. This is where you can see everything related to you as a Productive user: work log, time entries, emails, cost rate, contact info, projects, and time-off information.

Note that the extent of the changes you can make to your profile depends on your user permissions.

Admins have full access to modify all user details, while Staff users have limited visibility and editing options.

If you find a setting or option described in this guide that you cannot access in the app, please contact one of your admins for assistance.

Changing Your Name and Login Email

To change your name, avatar, or login email, click on your name in your profile or open the three-dot menu to the right and select "Edit profile".

Editing Your Contact Information

Click on the contact info box to edit your contact information.

  • You can add or change your phone number and address or add additional contact email addresses if needed.

  • Click on + Add field to add any additional contact information.

Adding Subscribers

Add subscribers who will receive notifications when your manager, name, email, or subsidiary is changed, or when a new custom field is added to your profile.
To do so, navigate to the Activity tab, select Feed and choose the profile page updates subscribers(s).

Note: Subscribers are notified of any changes recorded in the profile feed (e.g., adding a nickname won't trigger a notification, but changing your permission set will).

Add Job Title

You can edit the job title specific to your organization. While changes to the name and email update across all organizations the user belongs to, changing the job title only affects the profile within the organization you're currently editing.

Adjust Workplace

Set or change the workplace (subsidiary) you are associated with.


View Permission Set

Check which permission set you are assigned. Note that only Admins (and users with "Change users' permission sets" custom permission) can change other people's permission sets. Find out more about the topic here.


Check Manager

Check who has been set as your manager. This will be shown in the org chart.


Check Service Types

Check which service types you're assigned to track time and logging expenses.


Check Teams

View which teams you belong to.

Adding Tags

Apply tags to your profile for easier organization.


Automatic Time Tracking

If automatic time tracking is enabled for your organization, you'll see if it has been enabled for you.


Employee Fields

Apply or adjust any employee fields set up in Settings > Employee fields.


Additional Options

Open the three-dot menu to the right to access additional actions and details you can adjust.

  • Access your profile editor.

  • Add or edit your nickname.

  • Allow adjusting time entries outside of the locked period (when possible due to permissions).

Profile Tabs (Click to Expand)

Info tab

Contains essential information about you, including your employee details and any employee fields you have been assigned.

Note: The Info tab is visible only to users viewing their own profile.
To view others' Info tabs, users must have Admin, Manager, or Coordinator default permissions, or the custom "View employees and contractors" employee permission.

Time Tab

The Time tab consists of two sections—Overview and Time entries.

  • The Overview section displays your capacity, availability, scheduled time on projects and events, and total worked time for the selected period.

  • The Time entries section shows your time entries. You can group time entries by days, services, or tasks, select a time interval or use any of the filtering options available.

  • If you have sufficient permissions, you can make corrections or delete a time entry, by clicking on the "..." menu next to the entry.

  • To export time entries, click on the export button and select a format (XLS, PDF, or CSV).

Time Off Tab

In the Time Off tab, you can view both your requested and upcoming time off. Scroll down to see a list or calendar view of your upcoming and past time off.

Click Book Time Off to access your time-off calendar and submit your request.

Tip: If you don’t see a specific time-off allocation (e.g., Vacation, Sick Leave) and need to use it, reach out to your account admin!

Activity Tab

The Activity tab is divided into three sections:

1) The Work Log section logs everything you do in Productive, such as creating tasks, commenting on deals, and creating budgets.

Events are listed in chronological order. You can filter the data you want to see by clicking on the Show All button.

2) The Feed section shows all changes and updates made to your profile or settings. Use the Show dropdown to filter activities by comments, attachments, changes, or emails. Check, add or remove users subscribed to the updates to your profile.

3) The Emails section displays all emails you've sent or received in Productive. This includes emails where you've been CC’d using the BCC functionality.

Org Chart Tab

The Org chart tab provides a hierarchical diagram that illustrates the relationships and ranks of employees within your organization. You'll see your managers and subordinates here.

Projects Tab

The Projects tab lists all the projects you are a member of. Admins or managers can add or remove themselves from projects.

Cost Rates Tab

The Cost rates tab is accessible only to account Admins.

This tab displays the user's cost rate (what your company pays the employee). Admins can edit the current cost rate or set up different cost rates for different periods by clicking on + Cost rate.

Docking the Profile Overview

Instead of navigating away from your current page, clicking on your profile opens it in a docked side window on the right side of your screen.

This allows you to work on your profile without losing sight of what you are working on in the background.

For a more detailed profile overview, you can expand it to fullscreen with a single click.

Profile Settings Visibility

Note that admins have access to all profile options described in the article, while users with lower permissions will have a more restricted overview of their information and user details.

Staff Profile Overview


This is what users with Staff permissions can view and adjust in their profile.

Coordinator Profile Overview


This is what users with Cordinator permissions can view and adjust in their profile.

This is what users with Manager permissions can view and adjust in their profile.
