User Management: Basic Overview

Manage users in Productive with ease. Create, edit, and deactivate users from the Settings > Users menu for efficient team management.

Managing UsersEmployees, Contractors, and Clients, all of whom can have login access to Productive—is straightforward and flexible, allowing you to create, edit, and deactivate users as needed.

Here’s how to manage all user profiles effectively, all from one place!


Creating a New User

  1. Navigate to Settings

    Go to Settings > Users.

  2. Add User

    Click the "+ Add user" button in the top right corner.

  3. Select User Type

    Choose whether the new user is an employee, client, or contractor. Make sure you have enough seats available if you are adding employees or contractors!

  4. Enter User Details

    Fill in the required information such as name, title, and email.

  5. Send Invitation

    By default, the user will receive an invitation via email. If you untick the "Send invitation via email" option, the user will be added to your team but will not be invited to log in immediately. They will still appear in resourcing and can receive an invitation later.

Editing a User

To edit a user’s details:

  1. Navigate to User Settings

    Go to Settings > Users and click on the user’s name.

    Tip: Besides the centralized approach to your users through Settings > Users, you can also find all your Employees and Contractors under Resourcing > Employees, while Clients (and Contacts) are managed via CRM > Contacts.

  2. Edit Information

    You can change or add contact info, add tags, edit cost rate, change their job title, add time-off allocations, adjust their permissions, or deactivate the user.

Deactivating a User

Deactivated users cannot log into Productive. Users cannot be permanently deleted due to technical limitations. To deactivate a user:

  1. Direct Deactivation

    The easiest way to deactivate users is directly from the Settings > Users screen. Simply select the "Deactivate user" icon to the far right.

  2. Edit and Deactivate: Alternatively, select the user from the list, open the three-dot menu icon in the top right, and select "Deactivate person."

Reactivating a User

To reactivate, go to Settings > Users and click "Activate user," or edit the user and select "Activate person" from the menu.

Tip: If you do not see the deactivated user in your list, make sure to adjust the filters so deactivated users are included as well.
