Managing the Resource Planner Layout

Switch between People, Projects or Time off, and set up different advanced viewing options in the Resource planner.

In the Resource Planner, you have the flexibility to switch between three different layouts or perspectives (By Person, By Project, and By Absence) to tailor your perspective and make resource management a breeze.

Besides that, you have access to advanced options to help you configure the resourcing layout and use features such as fields, filters, zooming in and out, and the search bar for smoother navigation.

Changing Between Perspectives

Navigate to the Resourcing tab, select Resource Planner and use the dropdown menu to switch between By Person, By Project, and By Absence.

This allows for better resource allocation and planning as you can shift your focus to projects, people, and booking time off in just a click.

In the Resource Planner, you have the flexibility to switch between three different layouts or perspectives: By Person, By Project, and By Absence.

Each perspective is designed to give you a different view of your team's resources and bookings, helping you plan and manage workloads effectively. Here's how each perspective can be best utilized:

  • By Person: This perspective allows you to focus on individual team members. You can quickly see each person's bookings, availability, and capacity. It's ideal for managing your team’s workloads and ensuring no one is overbooked or underutilized.

  • By Project: This new view replaces the older "Projects" layout. It now lists budgets, deals, and projects (if linked). This perspective is great for managing resourcing for services that are part of budgets or deals, giving you a clear view of how time is being allocated. You can filter by budget, deal, or project, making it easy to focus on specific types of work.

  • By Absence: Use this perspective to track and manage team members' time off, including vacations, remote work, and other planned absences. This ensures you can account for any time off while planning resource allocations.

Adding Fields

In the Resource Planner, fields help you organize and categorize information, by including or excluding information visible in your view, such as the person's availability, capacity, and the ratio between the two, for example.

📌 Tip: Select fields and save the new view to your list of resourcing views.

Sorting Options

The Sort function allows you to arrange information based on added fields either in ascending or descending order for better organization and clarity.


Using Filters

Filters allow you to narrow down the displayed information based on specific criteria, such as viewing bookings for a particular project, team member, or date range.

📌 Similar to adjusting fields, after adjusting the filters, save the view for easier access later.

Search Bar (Beta)

The Search Bar allows you to quickly find specific team members or projects.

📌 Example: Search for users in Resource Planner > By Person.

Zoom Levels and Navigation (Old Behavior)

Zoom In and Out (Legacy Behavior)

The older Zoom In/Out buttons (– and +) let you adjust how much of the schedule you could see. The number of visible days depend on your screen size.

Next and Previous Week

Use the Previous week and Next week arrows to move through time in 7-day steps. Select This week to jump back to the current view.

Zoom Levels and Navigation (Beta—New Behavior)

Strategic Zoom Levels

The old zoom buttons are being replaced with clearer options: Week, Month, Quarter, Half-year, Year, and Custom.

This lets you quickly switch between granular and long-term planning depending on your needs.

For example:

  • Use Week to focus on day-to-day bookings.

  • Use Half-year or Year to get a high-level overview of long-term resourcing.

📌 With longer zoom levels (year and half-year), time is grouped by weeks. You’ll see total booked hours per week instead of per day, making it easier to track workloads over time.

📌 When planning across longer periods, bookings are created in week-sized blocks by default—but you can still fine-tune dates manually.

Field Timeframes

The displayed values automatically adjust based on the selected zoom level and visible dates—no need to configure this yourself.

Moving Through Time (New Navigation)

Horizontal scrolling has been removed. To navigate left and right through time:

  • Use the arrow buttons above the calendar to move day-by-day or week-by-week

  • Or use your keyboard arrows for quicker navigation.

You can still scroll vertically through the list of people or projects as before.

📌 The legacy horizontal scroll will no longer be available. The new method ensures smoother navigation and consistency across zoom levels.

Special Case: Quarter Layout

In the Quarter view, horizontal scroll is available:

  • On larger screens, view all three months at once

  • On smaller screens, scroll through the months

  • Bookings appear in day-sized blocks for better visibility

Advanced Options (Beta)

Explore additional functionalities by navigating to the rightmost gear (⚙️) icon.

Here, you'll find advanced options such as:

  • Week numbers: Display week numbers to keep track of planning periods more easily.

  • Stack bookings: Organize overlapping bookings vertically within the same row, creating a more compact and readable view.

  • Show project colors: Display project colors and logos to visually differentiate between projects at a glance.

  • Show all holidays: View holidays from all assigned calendars across your organization—not just the user’s own—so you can plan around non-working days more effectively.

  • Capacity indicators: Use heatmaps to visualize availability. Red signals overbooked users, while green indicates balanced workloads. Options include:

    • Show hours: Displays the total number of hours a person is booked across all budgets per day.

    • Extended: Shows detailed capacity indicators without hour values.

    • Compact: Displays minimal heatmap shading without hour values.

    • Hide indicators: Turns off heatmap visuals entirely.

    • Include tentative: Choose whether tentative bookings are factored into capacity calculations.

  • Density: Adjust column width to suit your planning style. Use narrow columns to fit more time on screen or widen them for better visibility of shorter bookings.

  • Manage placeholders: Add, remove, or reassign placeholders to plan upcoming work before assigning real people.

  • Show absences (In Resource Planner > By Project): View employees' absences while scheduling.

Transparent Bookings in the Resource Planner

When certain filters are applied to your view in the Resource planner, bookings falling outside the filtered criteria will appear transparent.

For a clearer overview, switch on the "Show only filtered bookings" toggle and any transparent bookings will be removed (applicable while organizing bookings in Resource Planner > By Person, Resource Planner > By Project, and Resource Planner > By Absence.
