Viewing Team Absences in the Resource Planner

With the introduction of absences in the Projects section in the Resource planner, you can easily view time-off absences for individuals assigned to projects.

This provides a straightforward way to determine whether a person is available for a certain period, streamlining resource allocation across multiple projects.

For example, when viewing projects in the Resource planner, absences will be displayed for individuals with project bookings.

That also means that if a person is booked on multiple projects, absences will be shown for each project.

Tip: Depending on your permissions, for a more detailed overview and time-off booking management, head to the People or Time off sections of the Resource planner, as the requested and approved time off will also be visible there!

Switching on the "Show Absences Toggle"

To view absences from the project perspective in the Resource planner, ensure that the "Show absences" toggle is switched on. Absences will only appear when bookings are not stacked and this toggle is activated.

By default, the "Show absences" toggle is off. To enable it, first, switch off the "Stack bookings" toggle, then toggle on the "Show absences" option.

You can access these toggles by clicking on the settings gear icon (⚙️) located in the upper-right corner while viewing your projects in the Resource planner.

Pro Tip: Enhance navigation in the Resource planner by using the "Show only filtered bookings" option.

This will ensure that only bookings and absences matching your applied filters are displayed, simplifying your view and improving efficiency.

For example, applying filters such as "Booking Person = Alex Taylor" will display all bookings and absences for Alex Taylor, as well as any relevant absences for other team members, where bookings for other team members will appear transparent.

Access the "Show only filtered bookings" option in the Filters menu to remove any results from your view that do not meet the filter criteria, allowing for a clearer and more focused view of your data.

Who Can See Absence Information in the Resource Planner?

Absence information in the Resource planner is accessible to users with specific permissions.

Those granted the "View basic info for all confirmed bookings" custom permission, or falling under roles such as Staff with Time Access, Staff With CRM and Time Access, Coordinators, Managers, and Admins, can view absences.
