You can view team absences directly in the By Project view of the Resource Planner. This helps you quickly check who’s available when scheduling work on projects, budgets, or deals.
If someone is booked on more than one project, their absences will show in each project’s timeline. This makes it easier to avoid scheduling conflicts or overbooking.
📌 Tip: For more detail or to manage absences, switch to the By Person or By Absence views. These views include both requested and approved time off —available based on your permissions.
Showing Absences in the Budget/Deal or Project Views
To display absences:
Click the ⚙️ gear icon in the top right corner of the Resource Planner.
Toggle Show absences on.
📌 By default, this option is turned off.
Who Can See Absence Information?
What you can see in the Resource Planner depends on your absence visibility permissions.
You can see absences in the By Project or By Budget/Deal views if you have the View basic info for all bookings permission, or one of the following permission sets:
Staff with Time Access
Staff with CRM and Time Access
Coordinator
Manager
Profitability Manager
Admin
For the By Person and By Absence views, visibility is controlled by your absence bookings permissions. By default, users with Coordinator, Manager, Profitability Manager, or Admin permission sets can see absences for everyone in the organization. Staff users are limited to their own absences only.
You can restrict visibility further using custom permission sets:
View absence bookings for users in their subsidiary: limits visibility to users in the same subsidiary.
View absence bookings for users they manage: limits visibility to direct and indirect reports, based on the Manager field on each person's profile.
