If you frequently manage similar projects or tasks, creating task templates in Productive can save you time and help you maintain consistency across your work.
This guide will walk you through creating task templates so you can quickly reuse structured tasks without having to start from scratch each time.

Using Task Templates
Task templates let you create new tasks with predefined content and structure, helping you stay consistent and saving time across projects.
Each task template is linked to a specific project, so you can easily reuse it whenever you work within that project.
Creating a Task Template
To create a task template:
Open any existing task in a project.
Click the three-dot menu in the top-right corner and select Save as template.
Add a template name and (optionally) a description.
Choose which details from the task you want to include in the template.
Select Everything to copy all available task details (closed to-dos and subtasks are not included), or select I want to choose what to include to manually pick the elements you want to copy.You can choose items such as open or closed to-dos and subtasks, the description, task custom fields, start and due dates (including due time), attachments, the assignee, repeat schedule, subscribers, time estimattime, comments, and tags.
📌 Heads-up: The checkboxes don’t control what gets copied from the template into new tasks—they only decide which parts of the current task you want to keep when creating the template. You can always edit your task template after saving it to include any new changes.Click Save as Template to create it.
Once saved, the newly created task template will automatically open. You can rename the template and its description by selecting Edit details or finalize the template by clicking Done in the upper right.
Accessing Task Templates
You can view and manage all task templates in the project Template Center in the upper right (located inside each project).
📌 Task templates are available to all users who have access to the project and permission to manage tasks.
In the project Template Center, templates are grouped by creator. Clicking on a template will show you a preview of its contents, including task details and structure.
From here, you can:
Use the template to create a new task
Edit the template (if you created it or have permission)
Delete the template
Creating a Task from a Template
To use a template when creating a new task:
In the task creation form, click Use a Template.
Select the desired template and click Use template to create a new task.
Managing Task Templates
You can edit an existing template by opening it in the Template Center.
Admins and users with the relevant permissions can manage all templates in the project.
Editing a template does not affect tasks that were already created using that template.
Deleting a template will not delete any tasks that were created from it.
Task Templates: FAQs
1) Can I use the same task template in another project?
No. When creating a new task from a template, you can't choose a different project than the one you are in.
2) Can I include subtasks in a template?
Yes. When saving a task as a template, you can choose to include its subtasks. If selected, those subtasks will be added automatically whenever you create a new task from that template.
3) Can I apply a template to multiple tasks at once?
No. Templates can only be applied when creating a single new task. If you need several tasks based on the same template, you’ll need to create each one individually.
