Creating and Managing Private Tasks

Private tasks allow you to keep certain assignments confidential, limiting visibility to selected individuals.

This article will walk you through how to set a task as private and the effects this change can have on your project.

Creating a Private Task

To create a private task, follow these steps:

  1. Locate the Padlock Icon
    When creating or editing a task, look for the lock πŸ”’ icon in the upper right corner of the task panel.

  2. Check the Icon Status

    • If the lock icon appears as shown in the default state (gray), the task is public and visible to everyone in the project.

    • To make the task private, click the lock icon and it will turn violet. The task navigation toolbar color will change, indicating that the task is now private.

    • Private tasks will feature a yellow task navigation toolbar and will appear as such in task lists, dashboards, and reports.

  3. Visibility of Private Tasks

    • Only users you add as subscribers can view private tasks.

    • Other project members will not see the private task unless you assign it to them or add them as subscribers.

πŸ“Œ Note: Private tasks cannot have subtasks. Subtasks are only available for public tasks.

Impact on Time Entries

When converting a public task to a private one:

  • Time Entries Unlinked

    All time entries previously logged against the task will be unlinked.

  • Retention of Entries

    The time entries will remain logged against the original service they were linked to, but they will no longer be associated with the now-private task.
