Creating and Duplicating Task Templates

Learn how to create task templates and duplicate tasks across projects for simplified project management in Productive.

Updated over a week ago

If you frequently manage similar projects or tasks, creating task templates in Productive can save you time and ensure consistency.

This guide will show you how to duplicate existing tasks, create task templates, and simplify your project management process.

Duplicating Existing Tasks within a Project

Duplicating tasks can be useful when you need to recreate similar tasks within the same project or across different projects. Here’s how you can do it:

  1. Navigate to the Project
Go to the Project management tab and select either Projects or Tasks from the dropdown.

  2. Select Tasks to Duplicate
On the left side of the task name, click the checkbox to select the tasks you want to duplicate. This will open an editor at the top of the screen, where you can edit and duplicate selected tasks in bulk.

Alternatively, you can duplicate the task by opening it, selecting the three-dot menu in the upper right and selecting "Duplicate task".

  3. Customize the Duplicate Tasks
After selecting the tasks, you can choose the project and task list for the duplicates. You can also customize which aspects of the tasks to copy, such as tags, assignees, and dates.

  4. Finalize and Duplicate
Click on "Duplicate tasks" to create your new tasks. They will now appear in the selected project.

Note: When duplicating tasks across projects, ensure that all assignees and subscribers are members of the target project. Productive will prompt you to add missing members.

Creating a Task Template

To create a task template that can be reused across projects, follow these steps:

  1. Create Template Tasks
Start by creating tasks in a predefined project template which will serve as a repository of your task templates. For example, create a project named "Task Templates Library" and add tasks that you want to use as templates.

  2. Duplicate the Template Tasks
Follow the same procedure for duplicating tasks within a project, as described above.

  3. Edit and Customize
After duplication, you can easily edit the new tasks to fit the specifics of your current project.

Using task templates ensures that all your projects start with a consistent structure, making project management more efficient.

Note: You can create project templates, too. Check out this article for more information.
