HubSpot Integration Setup

Connect HubSpot to Productive, set your default values, choose how deal updates sync, and map your pipeline stages.

If you are using HubSpot for marketing and sales, you can integrate it with Productive to have your deals, companies, and contacts synced with Productive.

Data can flow one way, from HubSpot to Productive, or both ways (Beta), where deal stage changes you make in Productive are also sent to HubSpot.

👉 Once the integration is set up, see What Syncs Between HubSpot and Productive to learn what syncs and which changes in Productive break the sync. For answers to common questions, see the HubSpot FAQ.

HubSpot integration is available on the Ultimate subscription plan.

Setting Up the Integration

  1. Log in to HubSpot.

  2. In Productive, navigate to Settings > App Marketplace and select HubSpot.

  3. Click Connect App and follow the setup prompts to configure the integration:

    • Default subsidiary: Assigns all synced deals to this subsidiary.

    • Fallback deal owner: Used if the HubSpot deal owner doesn’t exist or can’t be matched in Productive.

    • Default client company: Applied when a HubSpot deal has no assigned company.

    • Default template: Sets a PDF proposal template for all synced deals.

Important Note on Subsidiaries

Only one HubSpot integration is allowed at a time, regardless of how many subsidiaries or HubSpot accounts you manage.

Deal Ownership Updates (Click to Expand)

Deal owners from HubSpot are assigned matching deal owners in Productive, provided certain conditions are met:

  1. HubSpot deal needs to have an owner.

  2. A user with the same email address needs to exist in Productive.

  3. The Productive user has permission to create and view said deals.

If a deal without an owner is synced from HubSpot to Productive, Productive will assign the Fallback owner set in integration settings.

If deal owners are not matching correctly, try disconnecting and reconnecting the integration.

Mapping Pipeline Stages

Next, choose how deal updates sync and map your HubSpot pipeline stages to your Productive pipeline stages.

These settings appear after you click Continue on the default values screen, both when you first connect HubSpot and when you later edit the integration from Settings > App Marketplace > Edit HubSpot Settings.

Under Deal updates, choose one option:

  • Sync updates both ways (Beta): changes made in HubSpot are applied in Productive, and stage changes made in Productive are pushed back to HubSpot.

  • Sync updates from HubSpot: changes to synced deals in HubSpot are applied in Productive.

  • Don't sync updates: deals are created in Productive when they reach a mapped HubSpot stage, but later changes in HubSpot aren't synced. That includes changes to the deal, its line items, and notes.

📌 If your HubSpot integration was already connected and you select Sync updates both ways, you’ll be asked to reconnect HubSpot. This gives Productive permission to write to HubSpot.

Then, under Select HubSpot pipeline and stages you want to sync, choose a HubSpot pipeline and stage, and the Productive pipeline and stage it should match. Click Add row to map more stages, then click Save.

📌 With Sync updates both ways, each Productive stage can be mapped to only one HubSpot stage, and each HubSpot stage to only one Productive stage. You don’t need to map every stage.

By doing this, you will define when a deal from HubSpot should be added to Productive and to which stage. In other words, this will be the trigger for your sync!

Tip: Ensuring Your HubSpot Deals Sync with Productive

If you've recently set up the HubSpot integration but don't see your existing deals in Productive, here's what you need to know:

  • Only deals that are created via HubSpot can be synced.

  • Deals that already existed in HubSpot before the integration require an update to a stage that is configured for syncing to trigger the sync.

  • Deals that were manually created in Productive do not sync with HubSpot, even if they are later created in HubSpot.

📌 Important: If a synced deal is deleted in Productive, the sync for that deal is permanently stopped — Productive will no longer receive updates from HubSpot for it, and a new deal will not be created automatically, even if the deal continues to be updated in HubSpot. To resume syncing, restore the deal from the Recycle Bin.
