General Sales Settings

An overview of the Sales settings page: pipelines and stages, lost reasons, deal probability, and the BCC inbox, with links to each guide.

The Sales settings page is where you set up how your team sells in Productive. To open it, go to Settings > Sales settings.

📌 You need the Manage sales settings permission to open this page. It's on by default in the Admin permission set.

Here, you can:

  • Set up your pipelines and stages

  • Define lost reasons for deals

  • Set a default probability for deals in each stage

  • Turn on the BCC inbox to attach emails to your deals

Pipelines and Pipeline Stages

Pipeline stages are the steps in your sales process. On the Pipeline and Deal stage card, you can add pipelines, create and edit stages, and drag and drop them into a new order.

👉 Learn how to create pipelines in Setting Up Your Sales Pipelines.

Lost Reasons

Lost reasons help you track why deals were lost, so you can spot patterns over time. Common reasons include:

  • Not the right fit

  • Chose another tool

  • Pricing concerns

  • Unrealistic timeline

You manage the list on the Lost reasons card:

  • To add a reason, click + Lost reason, type the name, and press Enter.

  • To rename a reason, click its name and type the new one.

  • To delete a reason, click the trash icon next to it and confirm.

You can make choosing a lost reason mandatory for any stage with the Lost status. 👉 Learn how in: Customizing Sales Pipeline Stages.

Default Deal Probability

When a deal enters a stage that has a probability set, including when you create a deal in that stage, the deal takes on that probability. Deals in Won stages are set to 100% and deals in Lost stages to 0%.

📌 You set the probability per stage, on open stages only. Probability per stage is available on the Ultimate plan.

BCC Inbox

You can BCC emails to Productive to link them to deals, budgets, and invoices, keeping all communication organized.

📌 Note on inbox integration: In addition to the BCC inbox, Productive supports connecting your Gmail and Outlook inbox. All inboxes are accessible under the mail icon in the top navigation bar. The email inbox lets you view and manage your emails directly within Productive, while the BCC inbox continues to work as before for forwarding and linking client communication.

Deal Approval Policies

Approval policies for deals have their own page in Settings > Deal. A policy decides who approves the time entries and expenses logged on a deal, like the deal owner or the person's manager. You set it up once and apply it to all deals or only selected ones.
