Using Sales Pipelines

Move deals through pipeline stages, close them as won or lost, switch between Board and Table layouts, and report on your pipelines.

Once your pipelines are set up, every deal sits in one of their stages. This article shows how to move deals between stages, how to view your pipelines in CRM > Deals, and how to report on them.

👉 To create pipelines, see Setting Up Your Sales Pipelines. To change what each stage allows, see Customizing Sales Pipeline Stages.

Using Pipelines in Deals

Choosing a Stage

When you create or edit a deal, choose its stage from the Stage dropdown. The stages are grouped by pipeline, so picking a stage also puts the deal in that pipeline.

Closing a Deal as Won or Lost

Use the Won and Lost buttons in the deal header to close a deal quickly. Won opens the Mark deal as won window, and Lost opens Mark deal as lost, where you pick a lost reason.

The deal moves to the first Won or Lost stage of its pipeline. If you have more than one, you can pick a different one in the Won stage or Lost stage field in that window.

Moving Deals Between Stages

On the deals board, drag and drop a deal into another stage column.

To move several deals at once, select them, then click Stage in the tray that appears and choose the new stage. If you pick a Lost stage, you'll be asked for a lost reason.

Board and Table Layouts

In CRM > Deals, you can view your deals in two layouts:

  • Board: one column per stage, in the order you set in Sales settings. Good for seeing at a glance where each deal is and moving deals with drag and drop.

  • Table: one row per deal. Good for comparing details like owner, probability, or forecasted revenue side by side.

To switch, open the layout menu and choose Board or Table. To focus on a single pipeline, pick it in the pipeline picker.

In both layouts, you can choose which fields to show, add filters, and save the view so you can come back to it later. For example, a sales lead could save a view that shows only their team's deals in the Negotiation stage.

Sales Pipelines and Reports

To see how your deals are doing, create a deals report:

  • Go to Reports and select From scratch.

  • Select the Deals data source.

This report shows how much revenue you can expect from deals in each stage of your pipelines. Add Pipeline and Stage as fields or filters to break it down.

For example, filter by one of your pipelines, and group the report by stage to see how much value is waiting in each step.
