If you use Salesforce to manage your sales pipeline, you can connect it to Productive to automatically create projects, budgets, services, companies, and contacts from your opportunities.
Salesforce integration is available on the Ultimate subscription plan.
How the Sync Works
The sync runs hourly and automatically picks up newly won opportunities.
The sync is one-way: data flows from Salesforce to Productive only. Nothing is sent back to Salesforce.
📌 Once synced, if the opportunity is later updated in Salesforce, the project and budget in Productive are not automatically updated.
📌 We recommend creating a project template in Productive before starting the setup — you'll be asked to select one during configuration.
Setting Up the Integration
In Productive, go to Settings > App Marketplace and find Salesforce.
Click Connect App.
Install the Productive package
The Salesforce integration setup screen opens. Click Install package. This opens Salesforce in a new browser tab.
In the Salesforce tab, confirm the installation: choose who to install the package for, acknowledge the third-party app notice, then click Install.
This registers Productive as a trusted app in your Salesforce organization. When it finishes, return to the Productive tab.
Enter your Salesforce subdomain.
Your subdomain is the unique part of your Salesforce My Domain URL — the text before
.my.salesforce.com.For example, if your Salesforce URL is
https://acme.my.salesforce.com, your subdomain isacme.
You can find it in Salesforce under Setup > My Domain, or read it from the address bar while you're logged in to Salesforce.Log in to your Salesforce account to authorize the connection.
📌 If you're still signed in to Salesforce from the install package step, this login may not appear.
Return to Productive and select which Salesforce opportunity stage should trigger project creation in Productive.
Only one stage can be selected. When an opportunity reaches this stage, Productive automatically creates a project, budget, and services.
📌 Opportunities already in or past the selected stage will also be synced if they haven't been synced yet.
Additional filtering (optional): You can narrow down which opportunities trigger the sync by adding a field-based filter. Multiple values can be selected for the chosen filter field.
Click Next.
Choose a project template from Productive to use when creating projects from Salesforce opportunities.
The template determines the project manager, workflow, and other default project settings.
📌 If you don't have a template yet, create a new template first, then return to continue setup.
Click Next.
Choose how the budget subsidiary is assigned:
Use a default subsidiary — all synced budgets are assigned to the subsidiary you select here.
Sync from a Salesforce field — select a field from your Salesforce Account or Opportunity, then map each possible value in that field to a subsidiary in Productive.
Click Next.
Map Salesforce product families to service types in Productive.
Each Opportunity Product is created as a service in the budget. The service type is determined by its mapped product family:
Select a default service type in Productive — used for any product family that isn't explicitly mapped.
Optionally, map individual Salesforce product families to specific Productive service types.
Click Save.
What Gets Created
When an opportunity is synced, Productive creates the following:
Project — created from the selected project template, named after the opportunity.
Budget — created with the same name as the project, with the suffix "Budget". Assigned to the subsidiary configured in the integration settings.
Services — each Opportunity Product is created as a service in the budget, with its name, quantity, and price carried over from Salesforce.
Company — if the associated Salesforce Account doesn't exist in Productive, it's created automatically.
Contacts — if the associated Salesforce contacts don't exist in Productive, they're created automatically.
Manual Sync
In addition to the automatic hourly sync, you can trigger a sync manually from the project list by clicking Create from Salesforce.
Synced projects are typically created within a few minutes.
