Project Milestones (Beta)

Mark key dates on a project with milestones and see them in the Resource Planner, task layouts, and reports.

A milestone marks a key date on a project, such as a launch, a client review, or a hand-off. It shows up everywhere Productive displays project dates, so your team can plan work around it.

Milestones aren't tasks. They have no status, workflow, or time tracking, only a date and the details you add.

Before You Start

Anyone who can see a project can see its milestones. To add, edit, or delete milestones, you need the Add, edit, and delete project milestones permission.

Admins, Profitability Managers, Managers, and Coordinators have it by default. Clients can't see milestones.

šŸ“Œ If you're assigned to a milestone, you can edit it without the Add, edit, and delete project milestones permission. You can't assign it to someone else or move it to another project.

Milestones are available on the Professional and Ultimate subscription plans.

Adding a Milestone

Each milestone has:

  • Title

  • Date: a single day

  • Color and Icon: how the milestone appears on timelines

  • Assignee (optional): the person responsible for the date

  • Note (optional): extra context

From the Milestones Tab

Open the project and add a Milestones tab.

In the tab, click + Milestone.

Fill in the details and click Save milestone.

The tab lists all of the project's milestones. Click any of them to edit it or add new ones if needed.

From the Resource Planner

In the Resource Planner, click a day in the header. In the By Project view, you can also click a day on a project row.

Click + Milestone in the card that opens and fill in the details and click Save milestone.

Each milestone appears as a colored dot in the header. Hover over it to reveal its details.

šŸ“Œ You can add several milestones on the same day. They appear as stacked dots, and hovering over them shows each one's details. Click the hover card to see more and add another milestone for that day.

From the Workload Layout

In Project Management > Tasks, switch to the Workload layout. Click a day in the header to open the card for that day. Click + Milestone, fill in the details, and click Save milestone.

šŸ“Œ You can also add a milestone by clicking a date in a project's Timeline or Gantt layout, or a day in its Calendar layout.

Where Milestones Appear

  • Resource Planner: in the day header and as a band on the project row, including archived projects

  • Task layouts: in Calendar, Timeline, Gantt, and Workload

  • Milestones tab: the full list of a project's milestones

  • Reports: through the Milestones data source, also available in dashboard widgets

Hover over a milestone to see its title, project and client, date, note, and assignee.

Milestones in the Resource Planner

A milestone only shows when the view already includes that project's work:

  • By Person: someone in the view has a booking on the project

  • By Project: the project is in the view

  • By Budget/Deal: one of the project's budgets or deals is in the view

This way, milestones follow your filters and saved views. Past milestones are hidden automatically.

Hiding Milestones

In the Resource Planner, open the layout settings and turn off Show milestones. In task layouts, use the same switch in the layout options.

Editing and Deleting Milestones

Click a milestone in any of the places above to open it. From there, you can edit its details or delete it.

Deleted milestones go to the Recycle Bin, where you can restore them.

When you offboard a person, their milestones move to someone else. When you duplicate a project, you can choose to copy its milestones.
