The Editable Fields setting in Financial Month Closing allows specific updates to be made even after a financial period is locked—without affecting revenue or expense data.
This helps reduce unnecessary friction in day-to-day workflows while maintaining the integrity of financial reporting.
Why Allow Edits in Locked Periods?
By default, locking a financial month restricts all edits to related data. However, not all changes pose a risk to financial accuracy. For example:
A Budget Owner might want to approve internal time entries after the period has closed.
A Project Manager might need to upload an attachment or update an expense description.
Teams may need to adjust non-billable services or custom fields that don’t affect reported revenue.
Locking down all actions can result in frustration and prevent users from completing routine tasks that don’t alter the financial outcome. The Editable Fields option gives users freedom where it makes sense—without compromising control.
How to Enable Editable Fields
To allow limited edits in locked months:
Go to Settings > Financial Month Closing.
Toggle on the Allow partial editing in closed months option.
Once enabled, only specific fields across Expenses, Purchase Orders, Services, and Time Entries can be updated, as listed below.
What Can Be Edited in Locked Periods?
The following updates are allowed only if the Editable Fields setting is enabled.

Vendor
Reimbursement
Person
Description
Description on Purchase Order
Attachment
Payment Date
Status (e.g., Paid)
Custom Fields
Delete (only if the expense hasn’t been approved)
2. Purchase Orders
Allowed:
Expense description changes
Subject

Date of Issue
Delivery Date
Link/Unlink Expense
3. Services
All of the following fields can be edited:
Name
Description
Custom Fields
People Restriction
Tracking Types (applies only to future entries)
Estimates
Section Name

Non-billable services:
All fields editable except Billing Type
📌 If a service already has tracked time entries or expenses in the locked month, it becomes partially editable. Only non-financial fields (e.g., description, custom fields) can be updated. To fully edit the service, the month must be unlocked.
📌 Moving services between clients or projects is only allowed if Financial Month Closing does not block it. If blocked, all related fields (client, project) will be disabled.
4. Time Entries
Time entry edits are not supported in the Alpha release but will be available in the Beta version.
Editing is not generally allowed for time entries in locked months, but exceptions apply:
Allowed:
Changing the description
Changing the linked task
Deleting unapproved time entries
Not Allowed:
Changing or adding time
Changing service
Updating billing type
Changing status
Approving the time entry (unless the service is non-billable)
📌 If the service is non-billable, approving a time entry is allowed even in a locked period. If billable, approval is blocked.
5. Bookings
Still restricted in locked months. You cannot create, edit, or delete bookings that would impact revenue reporting.
📌 Applies to bookings with automatic time tracking enabled as well.
Change Tracking
All changes to the Editable Fields setting are recorded in the audit log.
When the feature is enabled or disabled, an entry will be added to the changelog for transparency.
What if I Need to Do Something That’s Not Editable?
If you need to make a restricted change—such as modifying a billable service or editing time entries—ask your organization Admin to temporarily unlock the relevant month.

“Financial month is closed. Please contact your organization Admin to unlock this month to be able to approve the time entry.”
