Can't Add a Booking in the Resource Planner?

There are a few reasons why you may be unable to add a booking for a service in the Resource planner. Let's see what they are!

Are you or any of your team encountering issues while trying to add a booking for a budget or a sales deal in the Resource planner?

If you find that your service isn't available and is not showing where you expect it to appear, there could be several reasons behind it.

We'll explore each potential issue below.

1) No Services Assigned to the Deal or Budget

Bookings in the Resource planner are made for services, either in budgets or sales deals.

If services haven’t been added to a deal or budget, you won’t be able to create bookings. Make sure the deal or budget has all necessary services assigned.


2) Booking Outside the Budget Date Range

Ensure the booking date falls within the budget’s active date range. You can check the budget dates in the top-right corner in the budget.

Note: This applies to budgets only.

3) Booking Options Are Disabled in the Deal Stage

Some deal pipeline stages may have booking options turned off.

Double-check the deal pipeline settings for the current deal stage to ensure bookings are allowed.

Note: This setting can be applied to deals only.

4) Booking Disabled for Specific Services

If bookings are disabled for the service directly within the deal or budget, you’ll need to enable it.

You can do this by clicking the Edit deal/budget icon and toggling the option to allow bookings for that service.

5) Service Tracking Unit Set to "Piece" Instead of "Hour" or "Day"

If the service is set to "Piece" (which is typically used for expense tracking), it won’t be available for time tracking or bookings for Time and Materials billing type services.

Change the tracking unit to "Hour" or "Day" to enable bookings.

Note: While bookings can still be made for Fixed billing type services when "Piece" is selected as the unit, we recommend using "Day" or "Hour" for booking purposes.

6) Service Restrictions

Check if time and expense tracking is restricted to certain service types or specific people within the deal or budget.

These restrictions directly impact who can be booked on the relevant services.

7) The Budget Has Already Been Delivered

Once a budget has been delivered, no new bookings can be added. To enable bookings, you’ll need to reopen the budget.

Note: This applies to budgets only.

8) The Budget is Not Part of a Project

In some cases, particularly when using the Resource planner > Projects section, you might not see the budget because it isn't associated with a project.

Since budgets can exist independently from projects, such budgets won’t appear in the Projects view. Additionally, sales deals are not part of projects, so they also won’t be listed here.

To resolve this, go to Resource planner > People, select the person you wish to create the booking for and assign them to the relevant budget or sales deal and its respective service.

9) Missing Cost Rate for the User

If a user doesn’t have a defined cost rate for the relevant date, they will still be available for booking. However, their booking will always be for "0 days".

You can update this in Settings > Users or through Resourcing > Employees. Make sure the cost rate covers the intended date range.​

Tip: In the Resource planner, you can quickly check if a user is missing a cost rate by reviewing their availability.

Go to Resource planner > People, and look for gray fields—these indicate days without a cost rate. White fields, on the other hand, represent bookable days where a cost rate is already set.

10) User Permissions

By default, only users with the Manager, Profitability Manager, Coordinator, or Admin system permission sets can add new bookings for budgets and deals in the Resource planner. Users with Staff or Contractor permissions cannot add bookings.

If you need more flexibility, consider creating a custom permission set. Enable the “Add, edit, and delete budget bookings” permission and assign the set to the desired users.
