Account Management: Adding and Removing Seats

Learn how to add and remove seats from your account, and update your pricing plan.

Each seat in Productive represents one paid user, such as an Employee or a Contractor. Clients added as users don’t count toward paid seats.

📌 A new account requires a minimum of 3 paid seats.

Adding Seats

You can add seats in Settings > Billing, whether you pay by invoice or credit card.

Only the organization owner and admins can do this by default. See Who Can Manage Seat Changes below to change that.

  1. Go to Settings > Billing and click Update subscription.

  2. Under Seats & payment cycle, use the + and – controls to set your new seat count.

  3. Click Continue, go through the remaining steps, and click Confirm.

A one-time adjustment fee is applied to your account after you add seats. The seat overview in Settings > Billing updates automatically, and you can click Show billing details to see what’s included in your plan.

📌 You need enough paid seats before you can add new users such as Employees and Contractors.

👉 See Change Your Productive Subscription Plan for the full walkthrough of the update flow.

Removing Seats

Remove seats from the same Seats & payment cycle step you use to add them. Your account is credited with a prorated amount, which is applied to your next transaction.

📌 If all your seats are in use, deactivate a user first to free up a seat.

When you deactivate a user, their seat isn’t removed automatically. Remove it manually if you don’t plan to assign it to someone else or want to stop paying for it.

Who Can Manage Seat Changes

By default, only the organization owner and admins can add or remove seats in Settings > Billing.

To give this access to other people, or to restrict it, update the relevant custom permission set and assign it to those users.

How Long Does It Take for the Balance to Update After Removing Seats?

  • Yearly plans: Seats and balances can take up to an hour to recalculate.

  • Monthly plans: The balance updates at the end of the billing cycle.
