Managing Your Company and Subsidiary Billing Information

Learn how to manage your company’s billing information, logo, and subsidiaries within Productive.

In Settings > Company Info, you can manage your company’s or subsidiary's billing details, including the default "Bill from" information (displayed on invoices) and the logos that appear on PDF export documents.

Updating Billing Information

Select the company or subsidiary to update. Add or edit the details described below.

1) General settings

  • Company logo

    Visible across all document templates (invoices, proposals, budgets, POs)

  • Full Company Name
    This information is shown in the "Bill from" section on invoices.

  • Tax ID
    More information here.

  • Address
    Street, City, ZIP/Postcode, State, Country.

2) Default financial settings

  • Default Tax Rate
    Choose from a dropdown of tax rates created for the subsidiary in Settings > Company Info > Tax Rates.

    This pre-fills the tax rate field on invoices, budgets, and deals if no default tax rate is set for the associated client company.

  • Default Bank Account
    Defines the bank account shown in the Pay to section of invoices.

  • Default Invoice Template

    Select one of your existing invoice templates. This template is used automatically when no client-level default template is set. If neither a client-level nor subsidiary-level default is selected, Productive will use the first template in the list (alphabetical order).

3) About defaults

When creating invoices, Productive applies a hierarchy to decide which template and subsidiary details are used.

  1. Client company default invoice template (set in CRM > Companies)

  2. Subsidiary default invoice template (set here)

  3. First template in the list (alphabetical order)

  1. Client company default subsidiary (set in CRM > Companies)

  2. If none is set, the subsidiary from the budget being invoiced

  3. If invoicing multiple budgets with different subsidiaries, Productive assigns the Bill from field to the first subsidiary in alphabetical order

How Can I Resolve Missing Logos on Invoices in the System?

When company logos are not appearing on invoices, the most common cause is an issue with the logo settings in your account.

To update the default company logo:

  • Navigate to Settings > Company Info

  • Select the subsidiary (bill-from entity) you need to update the logo for

  • Upload a new logo in a supported format (JPG, PNG, JPEG).

  • The logo will appear on all PDF exports, including invoices.

📌 Note: GIFs are not supported. Even if uploaded, they will not display correctly and will show an error image on invoices.

Good to Know: Adding Subsidiaries

If your subscription plan supports multiple subsidiaries, you can manage them in Settings > Company Info.

Here, you can add additional subsidiaries and define their billing information and default financial settings. Each subsidiary can have:

  • A unique company logo (displayed across all PDF documents)

  • Its own company name, address, and tax ID

  • A default tax rate (used if the client company does not have one set in CRM > Companies)

  • A default bank account (shown in the Pay to section of invoices)

  • A default invoice template (used if no client-level default is set in CRM > Companies)

This ensures each subsidiary has clearly defined billing information and its own financial defaults for invoicing and document exports.
