Verifactu: Setup

See what you need to set up Verifactu for a Spanish subsidiary, including subsidiary, bank account, and client details.

Verifactu is the Spanish tax agency's (AEAT) system for registering invoices. If you send invoices from a Spanish subsidiary, Productive can submit them to Verifactu for you. Once an invoice is registered, Productive adds an official QR code to its PDF as proof of registration.

This article covers the initial setup, including subsidiary, bank account, and client details.

📌 Verifactu and FACe share one setup, but they do different jobs. Verifactu registers your invoices with the Spanish tax agency. FACe delivers e-invoices to your clients: government clients through FACe, and businesses through FACeB2B. Each time you send an invoice, you choose whether to submit it to Verifactu, send it via FACe, or both.

👉 Once everything is in place, see Verifactu: Fiscalizing Invoices to submit your invoices.

Good to Know: Limitations by Plan

There is a monthly limit on the number of invoices you can submit to Verifactu, based on your plan:

  • Essential Plan: 10 invoices

  • Professional Plan: 50 invoices

  • Ultimate Plan: 100 invoices

You'll see the transaction counter in Settings > Invoicing > E-Invoicing, and when sending the invoice.

📌 The limit is shared with FACe. Only successful submissions count, and an invoice sent via FACe and submitted to Verifactu in the same step counts once.

Before You Start

Verifactu is available for subsidiaries based in Spain.

Your Spanish subsidiary also needs a bank account with an IBAN.

E-Invoicing Settings

To set up Verifactu:

  1. Go to Settings > Invoicing > E-Invoicing.

  2. Find your Spanish subsidiary and open it.

  3. Fill in the following fields:

    • Tax ID: your subsidiary's Spanish Tax ID (NIF, CIF, or NIE), including the ES prefix.

    • Street, City, ZIP/Postcode, and State/County. The State/County must be a Spanish province.

  4. Click Finish setup.

📌 These details are saved to your subsidiary's Bill From information. Productive automatically sets the payment method to Credit Transfer.

QR Code on Your Invoice Templates

Each invoice registered with Verifactu gets an official QR code on its PDF. It's proof that the invoice is registered, and your client can scan it to check the invoice with the tax agency.

The first time you finish setup, Productive adds space for the QR code to all your invoice templates.

📌 Keep the QR code shown in your invoice templates. If a template hides it, invoices that use that template can't be submitted to Verifactu.

Client Company Settings

Verifactu only works for invoices to clients with a Spanish Tax ID. To set up your client's details:

  1. Go to CRM > Companies.

  2. Select the client company and add the following:

    • Full Company Name

    • Tax ID: the client's Spanish Tax ID, including the ES prefix.

    • Address, with a Spanish province as the State.

📌 Recommended: Add the Subsidiary, Tax Rate, Payment Terms, and Invoice Template to the client profile to pre-fill this information when creating new invoices.

📌 The Client Type and the DIRe and DIR3 codes under E-Invoicing Information are only needed for FACe. You can leave them empty if you only use Verifactu.

Change or Remove the Setup

To change the details, open your subsidiary in the E-Invoicing settings again, edit the fields, and click Save changes.

To turn off Verifactu, click Remove and confirm. This also turns off FACe, and the subsidiary can no longer send e-invoices.
