Verifactu: Fiscalizing Invoices

Submit invoices to Verifactu when you send them, by email or via FACe, and track their fiscalization status.

Verifactu is the Spanish tax agency's (AEAT) system for registering invoices. In Productive, you can submit an invoice to Verifactu when you send it, by email or via FACe. Once the invoice is registered, an official QR code is stamped onto its PDF as proof of registration.

This article covers what you need before you start, how to submit an invoice to Verifactu, and how to track its status.

Before You Start

To submit an invoice to Verifactu, make sure that:

  • Your Spanish subsidiary is set up for Verifactu.

  • Your client has a Spanish Tax ID, including the ES prefix.

  • The invoice is finalized, has an invoice number and a due date, and every line item has a service type.

👉 For the subsidiary and client setup, and the monthly limits, see Verifactu: Setup.

👉 To check the QR code on your invoice templates, see Verifactu: The QR Code on Invoices.

Submit an Invoice to Verifactu

Open the finalized invoice, then open the Send to client dropdown in the upper-right corner. You can submit the invoice to Verifactu from two options:

  • Send via Email emails the invoice to your client.

  • Send e-invoice delivers it through FACe.

  1. Select Send via Email.

  2. In the Verifactu section, tick Submit to Verifactu for fiscalization.

  3. Click Send.

When the box is ticked:

  • The invoice PDF is attached and can't be removed.

  • The email isn't sent right away. Productive submits the invoice to Verifactu first, then sends the email with the stamped PDF once the invoice is fiscalized.

Productive asks you to confirm when:

  • Send again?: the invoice was already submitted to Verifactu.

  • Send without Verifactu QR code?: you send the email without Verifactu while an earlier submission is still being processed, so the attached PDF doesn't have the QR code yet.

Send e-invoice (FACe)

  1. Select Send e-invoice.

  2. Add the FACe details for your client.

  3. Tick Submit to Verifactu for fiscalization. It's unticked by default.

  4. Click Send e-invoice.

Productive submits the invoice to Verifactu first, then delivers it through FACe.

👉 For the FACe details, see FACe: Sending Invoices via FACe.

When You Can't Submit to Verifactu

The Submit to Verifactu for fiscalization checkbox is disabled when:

  • A custom PDF is attached to the invoice. Remove it to submit the invoice.

  • The invoice template hides the QR code.

  • You've reached your monthly e-invoice limit (when sending by email).

A short explanation always appears under the checkbox.

After Fiscalization

Once the invoice is fiscalized, its PDF in Productive is replaced with the stamped copy. This happens even if you uploaded a different PDF in the meantime. The invoice feed shows the fiscalization activity.

If fiscalization fails, the invoice's fiscalization status changes to Failed, and you'll see it in the invoice feed. If you sent the invoice by email, you also get an email, and the email is marked as failed.

Track Fiscalization Status

The Fiscalization Status field in the Invoices view shows whether each invoice is Pending, Successful, or Failed. Add it as a column under Fields, or use it as a filter.
