Viewing Meeting Recordings, Transcripts, and Notes

How to find and review your meeting recording, transcript, and AI-generated notes after Productive Notetaker finishes processing.

Go to Project Management > Meetings and open the Recorded tab.

This shows all meetings you've attended that were recorded with Productive Notetaker. If the meeting was linked to a project or deal, it also appears in the Meetings tab in a project or a deal.

Click any meeting to open it.

Video Recording

The video recording plays directly in Productive. The video player is synced with the transcript and clicking any timestamp in the transcript jumps to that moment in the video.

Use the controls in the video player to:

  • Full-screen the video using the full-screen icon

  • Download the video, change playback speed, or use picture-in-picture via the three-dot menu in the player

Transcript

The transcript shows speaker names and timestamps for the full meeting. Use the toggle in the top-right corner of the transcript panel to switch between two views:

  • Transcript timeline: a visual timeline showing each speaker's participation, color-coded by speaker; click any point to jump to that moment in the video

  • Raw transcript: the full transcript with speaker names and timestamps, with a search bar to find specific moments; click any timestamp to seek the video

πŸ“Œ If multiple people joined the call from the same device, the transcript will attribute all their speech to a single participant. Speaker breakdown in the transcript timeline reflects individual devices, not individual people.

Action Points and Meeting Notes

Action Points and Meeting Notes are displayed to the right of the video and transcript.

  • Action Points: a list of AI-generated follow-up items identified from the conversation

  • Meeting Notes: an AI-written summary of the meeting

Create Tasks from Action Points

Click the Create tasks from action points button next to the Action Points heading to turn your action points into tasks in Productive.

The AI Assistant opens with each action point converted into a draft task with a verb-first title, a short description linking back to the meeting recording, an assignee based on who was mentioned, other attendees as subscribers, and the linked project pre-filled. If a deadline was clearly stated in the meeting, it's added too.

The Assistant shows you the proposed tasks and asks for your confirmation before creating anything.

Sharing a Meeting

Click the Share icon at the top of any meeting to share it with others.

Select individual users, teams, or dynamic groups (like the project manager or project members) and choose an access level: Can view or Can edit.

πŸ“Œ By default, only you can see meetings you've added. Even if a colleague was on the same call, they won't see it in their Recorded tab until you share it with them directly.

Explore

Click Explore at the top of any meeting to open the AI Assistant with the full meeting as its context. You can ask questions about what was discussed, or use one of the suggested actions:

  • Create tasks from action points: turns each action point into a draft task in Productive

  • Create time entry: creates a time entry based on the meeting

  • Post follow-up note on existing task: adds a follow-up comment to a related task

Editing and Deleting a Recording or Meeting

Click the three-dot menu in the top-right corner of the meeting view:

  • Edit meeting: lets you edit the meeting title

  • Delete recording: removes the video file only; the transcript, Action Points, and Meeting Notes are preserved

  • Delete meeting: removes the entire meeting record including all content
