Sharing Meetings

Share a meeting’s recording, transcript, Action Points, and Meeting Notes with teammates in Productive, or with anyone outside Productive using a public link.

Automatic Sharing

For meetings created from a calendar event, Productive shares the recording with the other attendees once the meeting is complete. It matches attendees to existing Productive users by email, and they get Can view access by default. Attendees without a Productive account aren’t added.

If you added the meeting manually, not from a calendar event, Productive doesn’t share the recording automatically. Share it yourself using the steps below.

📌 When you link a meeting to a project or a deal, the recording is automatically shared with the members of the project or deal (including the project manager and deal owner). You don’t need to add them manually.

Sharing a Meeting Manually

  1. Open the meeting and click the Share icon at the top.

  2. Select individual users, teams, or dynamic groups (like the project manager, project members, or all employees).

  3. Choose their access level.

Access Levels

  • Can view: the person can view the recording, transcript, and notes, but can’t make changes.

  • Full access: the person can view the recording, transcript, and notes, and edit the meeting title, Action Points, and Meeting Notes.

📌 Sharing access works on top of permissions. A person needs at least the View, edit, and delete meetings the user can access permission to see a meeting shared with them. Without it, they can’t open the meeting even if you share it directly.

Sharing a Meeting Publicly (Beta)

Share a meeting with people outside Productive using a public link, the same way you’d share a doc oe an artifact to the web. Anyone with the link can view the meeting without logging in.

To share a meeting publicly, click the Share icon at the top of the meeting and turn on Share to web at the bottom of the window. Click Copy link and send the link to anyone you want.

The public page shows the meeting title, date and length, the recording, the transcript, Action Points, and Meeting Notes.

Viewers can see participants’ names in the transcript and copy the notes, but they can’t edit anything. The page doesn’t show who created the meeting, the project or deal it’s linked to, or participants’ email addresses.

While a meeting is shared publicly, the bar at the top of the meeting turns green and shows a Public label in Productive.

To stop sharing, turn off Share to web. The link and the recording stop working right away, and anyone who opens the link sees a 404 page.

📌 You can share a meeting to the web only after it’s completed, and only if you have Full access to it. Share to web is available on the Professional and Ultimate plans.

📌 The link doesn’t change. If you turn Share to web off and back on, the same link starts working again.
