Productive Notetaker records your meetings, so your team might want to know what happens to that data before you start using it. This article explains where meeting data is processed and stored, which third parties are involved, and how long the data is kept.
š To learn how to use the Notetaker, see About the Notetaker.
Your Data and the DPA
Meeting recordings, transcripts, action points, and meeting notes are your Customer Data, so your existing Data Processing Addendum (DPA) already covers them. You don't need a separate agreement to use the Notetaker. Like all Productive AI features, the Notetaker is also subject to the AI Additional Terms of Service.
ā
Where Meeting Data Is Processed and Stored
The Notetaker bot that joins your calls runs on Recall.ai (Hyperdoc Inc.), one of Productive's subprocessors. Recall.ai records the meeting and creates the transcript on EU-based infrastructure in Frankfurt.
Once processing is done, the recording, transcript, action points, and meeting notes are stored in Productive, on Amazon AWS servers in the EU. The data is encrypted both in transit and at rest.
To write the meeting notes and action points, Productive sends the transcript to one of its AI providers. You can find every provider on Productive's subprocessors list.
How Long Meeting Data Is Kept
Recall.ai deletes the recording from its servers 6 days after the meeting ends.
The copy in Productive isn't deleted automatically. The recording, transcript, and notes stay in Productive until someone from your organization deletes them. You can delete only the recording or the whole meeting. Deleted meetings go to the Recycle Bin first, so they can still be restored.
ā
š See Editing and Deleting a Recording or Meeting.
ā
Meetings you've already recorded stay in Productive even if your organization stops using the Notetaker. Under GDPR, you can ask us to delete them permanently. To do that, contact our support team.
ā
AI Training
Your recordings, transcripts, and meeting notes aren't used to train AI models, either by Productive or by any provider that processes them.
Recording Consent
Your organization is responsible for letting everyone on the call know that the meeting is being recorded and transcribed, and for getting their consent where the law requires it.
Documents for Your Security Review
If your team needs to review the Notetaker before using it, you'll find these documents in Productive's Trust Center:
The AI Additional Terms of Service explain how the Notetaker processes, stores, and deletes meeting audio.
The Data Processing Addendum (DPA) covers all data processing in Productive, including the Notetaker.
The subprocessors list shows every third party that processes your data, including Recall.ai and AI providers.
The SOC 2 Type II report also covers the Notetaker. You can request access to it in the Trust Center.
š For data transfers outside the EU, see Standard Contractual Clauses at Productive.
