Managing Contacts on a Deal or Budget (Beta)

Add multiple contacts to a deal or budget, mark one as primary, and manage all contacts from the Client details tab in the sidebar.

Deals and budgets can have multiple contacts linked to them. For example, a procurement lead, a finance contact, and a decision-maker.

One contact is marked as Primary and shown in the sidebar. Contacts are also available for filtering and grouping in deal and budget reports.

Contacts are managed from the Client details tab in the deal or budget sidebar.

Adding a Contact

Open the deal or budget and click the sidebar icon to expand it. Go to Client details and click Add contacts.

Search for a contact from the dropdown. Results are filtered to people belonging to the same company as the deal or budget. Select a contact to add them to the list.

If you don't see the contact you're looking for, you can create a new one directly from the dropdown.

πŸ“Œ Adding a contact does not change who is set as Primary. The existing Primary contact stays unless you change it manually.

Setting a Primary Contact

Exactly one contact can be marked as Primary at a time. The Primary contact is shown in the sidebar summary under Client details.

To change the Primary contact:

  1. Open Manage contacts from the Client details tab

  2. Find the contact you want to set as primary

  3. Click Set as primary

The previous Primary contact is automatically unset.

πŸ“Œ If only one contact is linked, it is automatically set as Primary.

Editing a Contact

The Contacts modal is for managing which contacts are linked to a deal or budget, and not not for editing contact details.

To edit a contact's details (name, email, phone, custom fields):

  1. Hover over the contact's name.

  2. Select Go to profile or Edit.
    ​

  3. Make your changes and select Update contact.
    Changes apply everywhere the contact is used across Productive.
    ​

Removing a Contact

  1. Open Manage contacts from the Client details tab
    ​

  2. Find the contact you want to remove and click X to remove it
    ​


πŸ“Œ If you remove the Primary contact, the next contact in the list automatically becomes Primary. If no contacts remain, there is no Primary contact.

How Contacts Are Used

The Primary contact is displayed in the sidebar summary under Client details.

In reports, you can filter and group deals and budgets by primary contact, which is useful for tracking which contacts are associated with active work.

πŸ“Œ Contacts linked to a deal or budget are separate from the company's billing email settings. Invoice recipient emails are pulled from the company's contact details, not from the contacts associated with a deal or budget.

Notes

  • All contacts must belong to the same company as the deal or budget.

  • Only contacts (non-login people) can be added. Client users are not available in the picker.

  • There is no limit to the number of contacts you can associate with a deal or budget.

  • Contact editing (name, email, phone, custom fields) is done through the contact profile in the CRM, not the Contacts modal.
