Custom Absence Permissions for Subsidiary Access

Set up custom absence permissions so managers can only view absence data for users in their own subsidiary.

Custom permission sets allow you to create new permission sets tailored to your team's needs.

In Productive, absence refers to both time off and remote work: time off means the person is unavailable for work, while remote work means the person is working but not in the office. Both can be set up and requested through Productive.

This article covers two permissions that control absence visibility based on subsidiary:

  • View absence bookings for users in their subsidiary: lets users see absence bookings for employees in their own subsidiary.

  • View absence allowances for users in their subsidiary: lets users see absence allowances for employees in their own subsidiary.

View Absence Bookings for Users in Their Subsidiary

This permission lets users view absence bookings for all users within their own subsidiary.

With this permission, users can see:

  • Absence bookings in the Resource Planner

  • Absence bookings/requests on user profiles, under the Absence tab.

  • Overview of absence in Time > Overview in the user's profile.

  • Absence bookings in various reports (Bookings report, Capacity and Availability report, Overtime/Undertime report, Payroll report).

Important dependencies:

  • If the View absence details for all users permission is turned on, this permission will automatically be enabled.

  • If this permission is turned off, the View absence details for all users permission will automatically be disabled.

View Absence Allowances for Users in their Subsidiary

This permission allows users to see absence allowances for users within their subsidiary.

With this permission, users can see:

  • Absence allowances in user profiles, under their Absence tab.

  • Absence allowances in the Absence Allowances report

Important dependencies:

  • If the View your own absence allowances permission is enabled, this permission will automatically be turned on.

  • If this permission is disabled, the View your own absence allowances permission will automatically be disabled.

  • If the View all users' absence allowances permission is enabled, this permission will automatically be enabled.

  • If this permission is turned off, the View all users' absence allowances permission will automatically be disabled.

Recommended Use Case for Managers in Multi-Subsidiary Organizations

In a multi-subsidiary setup, a manager might need to see only the absence data for users within their own subsidiary. Here’s how to configure the permissions:

Enable:

  • View absence allowances for users in their subsidiary
    This lets the manager see absence allowances for users in their subsidiary.

  • View absence bookings for users in their subsidiary
    This lets the manager see absence bookings for users in their subsidiary.

Disable:

  • View absence details for all users
    This prevents the manager from seeing absence details for users in other subsidiaries.

  • View all users' absence allowances
    This prevents the manager from seeing absence allowances for users in other subsidiaries.

(Default) System Permissions

The following system permission sets will have the View absence bookings for users in their subsidiary permission automatically enabled (they have the View absence details for all users permission enabled):

  • Admin

  • Profitability Manager

  • Profitability Manager (restricted)

  • Manager

  • Manager (restricted)

  • Coordinator

  • Coordinator (restricted)

Similarly, the View absence allowances for users in their subsidiary permission will be enabled for the following permission sets (the View all users' absence allowances permission is active):

  • Admin

  • Profitability Manager

  • Profitability Manager (restricted)

  • Manager

  • Manager (restricted)
