The Permission Builder allows you to create custom permission sets tailored to the needs of your team.

This article will guide you through the process of adjusting workplace/subsidiary-based permissions, specifically focused on the two key permissions related to time off access:

  1. View time off bookings for users in their workplace—Enables users to see time off bookings for employees in their workplace.

  2. View allocated time off for users in their workplace—Enables users to see time off allocations for employees in their workplace.

By configuring these permissions, you can ensure that users only have access to the relevant time off data within their respective workplace or subsidiary.

View Time Off Bookings for Users in Their Workplace

This permission enables users to view time off bookings for all users within their own workplace or subsidiary.

With this permission, users can see:

  • Time off bookings in the Resource Planner.

  • Time off bookings/requests on user profiles, under the Time Off tab.

  • Time off bookings in various reports (Bookings report, Capacity and Availability report, Overtime/Undertime report, Payroll report).

  • Overview of time off in Time > Overview in the user's profile.

Important Dependencies:

  • If the View time off details for all users permission is turned on, this permission will automatically be enabled.

  • If this permission is turned off, the View time off details for all users permission will automatically be disabled.

View Allocated Time Off for Users in Their Workplace

This permission allows users to see time off allocations for users within their workplace.

With this permission, users can see:

  • Time off allocations in user profiles, under the Time Off tab.

  • Time off allocations in the Time Off Allocations report.

Important Dependencies:

  • If the View your own time off allocations permission is enabled, this permission will automatically be turned on.

  • If this permission is disabled, the View your own time off allocations permission will automatically be disabled.

  • If the View all users' time off allocations permission is enabled, this permission will automatically be enabled.

  • If this permission is turned off, the View all users' time off allocations permission will automatically be disabled.

Recommended Use Case for Managers in Multi-Subsidiary Organizations

In a multi-subsidiary setup, a manager might need to see only the time-off data for users within their own subsidiary or workplace. Here’s how to configure the permissions:

Enable:

  • View allocated time off for users in their workplace
    Enables the manager to view time off entitlements and allocations for users in their subsidiary.

  • View time off bookings for users in their workplace.
    Allows the manager to view time off bookings for users in their subsidiary.

Disable:

  • View time off details for all users
    This prevents the manager from seeing time off details for users in other subsidiaries.

  • View all users' time off allocations
    This ensures the manager can only see allocations for their own subsidiary's users.

(Default) System Permissions

The following system permission sets will have the View time off bookings for users in their workplace permission automatically enabled (they have the View time off details for all users permission enabled):

  • Admin

  • Profitability Manager

  • Profitability Manager (restricted)

  • Manager

  • Manager (restricted)

  • Coordinator

  • Coordinator (restricted)

Similarly, the View allocated time off for users in their workplace permission will be enabled for the following permission sets (the View all users' time off allocations permission is active):

  • Admin

  • Profitability Manager

  • Profitability Manager (restricted)

  • Manager

  • Manager (restricted)
