Viewing Team Absences in the Resource Planner

Learn how to view team absences from the project perspective in the Resource Planner and who can see this information.

You can view team absences directly in the By Projects view of the Resource Planner. This helps you quickly check who’s available when scheduling work on projects, budgets, or deals.

If someone is booked on more than one project, their absences will show in each project’s timeline. This makes it easier to avoid scheduling conflicts or overbooking.

📌 Tip: For more detail or to manage absences, switch to the By Person or By Absence views. These views include both requested and approved time off—available based on your permissions.

Showing Absences in the Project View

To display absences in the By Projects view:

  1. Click the ⚙️ gear icon in the top right corner of the Resource Planner.

  2. Toggle Show absences on.

📌 By default, this option is turned off.

Who Can See Absence Information?

Access to absence data depends on your role and permissions. You can see absences in the By Project view in the Planner if you:

  • Have the “View basic info for all confirmed bookings” permission

  • Or have one of these permission sets assigned to you:

    • Staff with Time Access

    • Staff with CRM and Time Access

    • Coordinator

    • Manager

    • Profitability Manger

    • Admin
