Syncing Events from Google Calendar to Productive My Time

With the Calendar view in My time, you can define the exact time of day when a time entry was recorded and see your entries in a convenient day/week view.

To help you with your organization, Productive supports syncing with your Google Calendar, allowing you to view all your Google Calendar events within the Calendar View in My time.

This integration provides a clear overview of your assignments and allows you to convert calendar events into time entries in Productive, linking them to specific projects and services.

Note that the sync is one-way (Google Calendar > Productive), meaning any time entry added to the Calendar view in Productive does not get automatically transferred as an event to your Google calendar.

If you want to see tasks or bookings from Productive on your external calendar, you will need to link them via an iCal link. Here's how to do so.

Syncing Time-Off Categories from Productive to Google Calendar

Additionally, you can sync your time-off categories from Productive to your Google Calendar for seamless availability updates.

This ensures that your availability status is consistently updated across platforms, making it easier for your team to stay informed about your time off.

Connecting Google Calendar and Productive

Via App Marketplace

  1. Go to Settings > App marketplace.

  2. Navigate to the Calendar category and select Google Calendar. Note that you can have other other calendars (e.g. Office 365 Calendar) linked at the same time.

Via Calendar View

  1. Go to Time > My Time.

  2. Switch to the Calendar view.

  3. Click on the gear icon (⚙️) and select Connect Google Calendar.

The Google Calendar integration cannot be created using the iPhone or iPad app. Please try creating it using the desktop or web app. Once created, you can use it seamlessly on your mobile devices.

Entries from Google Calendar in Productive

After integration, your Google Calendar events will appear greyed out in Productive (see screenshot below).

This initial greying out helps distinguish these events from your Productive projects. To track time against a Google Calendar event and assign it to a project in Productive, simply click on the event.

The color of the event will change to match the associated project in Productive, indicating that it is now a tracked time entry.

Additional Options

Select the gear icon (⚙️) to the right to customize your calendar view.

  • The "Hide weekends" toggle adds or removes the weekends from your calendar view.

  • The "Include Time off in Total" toggle will add up (or ignore) any time off in the day total.

  • The "Show calendar events" toggle is related to calendar integrations, giving you the option to include or exclude events from your external calendar in Productive.

  • Selecting the "Calendar integration settings" will take you to the App marketplace where you can unlink or edit the calendar sync.

Syncing Time Off From Productive to your Google Calendar

You can sync your time-off status from Productive to your Google Calendar, ensuring that your availability updates are reflected seamlessly across platforms.

This feature allows your colleagues and you to see your availability based on time-off bookings in Productive directly in your Google Calendar.

Managing the Sync

To check your integration status, edit, or unlink the sync, navigate to Settings > App Marketplace and locate your calendar integration.

A "Linked" badge will indicate the calendar integration currently in use.

To view the calendar integration details, select the calendar. A side window with the integration details will appear on the right.

If you need to adjust the integration settings, select Edit to the right (marked by a pencil icon ✏️), or if you need to remove it, select Delete (marked by a bin icon 🗑️).

Checking the Integration Validity

If you see a green checkmark next to your email address, the sync is working properly.

If you see a yellow exclamation mark, the integration may need to be redone. To fix this, hover over the email with the warning sign, select the bin icon to remove the integration, and then redo the integration.

You can sync multiple calendars by selecting the "Connect calendar" option and adding a new calendar.
