To ensure you never lose track of client communications, you can BCC emails to Productive and assign them to deals, budgets, and invoices. Here’s how to set it up and use it effectively.
Enabling Email Inbox
1) Go to Settings: Navigate to Settings > Sales settings > Other.
2) Turn on Email Inbox: Enable the Email Inbox toggle.
The Email Inbox
Access Inbound Emails
After enabling, find the Inbound emails feature under CRM > Inbound emails.
Find Your Unique Account Email
Your unique account email address is located at the top right of the Inbound emails screen.
Managing Emails
Viewing Emails
Every email you forward or BCC to your unique address will show up in the Inbound emails section in Productive. It will remain in the Unassigned emails inbox until you sort them.
Filing Emails
Click on the dropdown menu and select the deal, budget, or invoice to assign the email.
If an email is part of an existing conversation, it will be auto-filed to the same deal, budget, or invoice.
Dismissing Emails
Dismissing an email removes it from the list of unassigned emails but doesn’t delete it completely. You can also access the dismiss option by opening the three-dot menu icon to the right.
It will still be shown in the Contact's details under their Emails tab.
Deleting Emails
To delete an email completely from Productive, open the three-dot menu icon to the right and select Delete.
Automatic Filing and Reassignment
Automatic Assignment
If an email is part of a conversation that was previously filed to Productive, it will be auto-filed to the same deal, budget, or invoice as the previous emails.
You will receive a notification indicating that the email was filed to a deal, budget or invoice. You can always navigate to the deal, budget, or invoice and reassign the email if needed.
Reassigning Emails
In the activity feed, hover on the right side and select an option to reassign emails. If the sending account has never been added to Productive, the sender will be automatically added as a contact.
Ensuring Security and Authenticity
To ensure the security and authenticity of emails forwarded to Productive's inbox, all incoming emails must pass both SPF (Sender Policy Framework) and DKIM (DomainKeys Identified Mail) checks.
SPF: Verifies that the email is sent from an authorized mail server.
DKIM: Ensures the message has not been altered during transit.
By enforcing these checks, we can prevent spoofed emails and ensure that only legitimate messages are processed and assigned to the appropriate resources.
We recommend configuring SPF and DKIM according to your email service provider’s instructions, as emails failing these checks will not be forwarded to Productive.
