Creating and Managing Deal Proposals (Beta)

Learn how to create, edit, delete, and regenerate deal proposals in Productive.

The Proposals tab on the Deal screen allows you to create and manage all proposals associated with a deal.

πŸ“Œ Users with Add, edit, and delete deals permissions can add, edit, and delete proposals. By default, these are users with Manager (restricted and unrestricted), Profitability Manager (restricted and unrestricted) and Admin permissions.

Creating a New Proposal

1) Go to the Proposals tab on the deal screen and click + Proposal.

3) In the popup, fill in:

  • Proposal subject – Give your proposal a clear subject which will be included in the PDF.

  • Document template – Choose from the templates configured in Settings > Document Templates > Proposal.
    Templates define the layout and structure of your proposal, including which details appear, how they’re formatted, and the overall visual style such as fonts, colors, and logo placement.

  • Tax Rate – Select the applicable tax rate for the services from your deal, if any.

  • Optional Note – Add a message that will appear on the proposal note.

  • Click Create proposal.

After creation, you can open the proposal document and adjust the following:

  • Status (Draft, Sent, Accepted, Rejected) – Update the proposal’s current stage or let it automatically reflect client actions.

  • Send Proposal – Open the email modal to send the proposal directly to your client.
    ​

  • Enable e-signature – Generates a secure public link your client can use to accept and sign the proposal. You can also add a disclaimer if required.
    ​

  • Export – Download the proposal as a PDF to share or store outside Productive.
    ​

  • Edit and Delete (three-dot menu) – Modify proposal details or remove it entirely from the deal.
    ​

  • Sync proposal – Regenerate the proposal to reflect any changes made to the deal’s services, quantities, or rates. Available only if the services on the deal have changed compared to the proposal.

  • Closing an open proposal returns you to the Proposals tab, where you can see a list of all proposals for the deal.

Managing Proposals

  • Edit: Opens the Edit Proposal screen, where you can update the proposal name, template, tax rate, or note.

  • Delete: Shows a confirmation popup to prevent accidental deletion.
    ​

  • Status: Each proposal has a status that can be updated manually or automatically:

    • Draft (default) – can be edited or regenerated

    • Sent – automatically updated when the proposal is emailed or when a public link is generated

    • Accepted – automatically set when a client approves

    • Rejected – manually set when a client declines
      ​

    πŸ“Œ Only proposals in Draft state can be edited or regenerated.

Tips for Using Proposals Effectively

  • Always double-check that your services, quantities, and rates are correct before creating a proposal.

  • Use notes in the PDF to provide context or special instructions for your client.

  • If deal services change after creating a proposal, click Sync proposal to sync the latest data.
