Understanding the Invoice Field in Reports, Budgets, and Projects

Use the Invoice field in budgets, projects, and time entry reports to track which invoice contains specific time entries.

What is the Invoice Field?

The Invoice field shows which invoice a particular time entry has been added to, helping you quickly identify:

  • The exact invoice associated with a time entry

  • Invoice numbers for finalized invoices

  • Invoice IDs for invoices that are not yet finalized

As a column it is available in:

  • "Time Entries" Reports
    ​

  • Budgets (Time tab)
    ​

  • Projects (Time tab)

How to Add the Invoice Field

  1. Open a Time Entries Report, Budget (Time tab), or Project (Time tab).
    ​

  2. Open the Fields dropdown and select Invoice from the list of available fields. Once added, the column will display either the invoice number (for finalized invoices) or the invoice ID (for draft invoices).

πŸ“Œ Example: If a time entry is invoiced on invoice #11223349 (finalized), the column will show #11223349. If the invoice is still in draft, it will show the invoice ID, e.g., Invoice (ID 956135). You can click this link to open the invoice and see all related details.

πŸ“Œ Tip: When you hover over an invoice number (for finalized invoices), you’ll see extra details such as the Subtotal (amount before tax) and Company.

Using the Invoice Field

  • Navigation: Click on an invoice in the column to open it and view all related details.

  • Grouping and Filtering:

    • You can group time entries by invoice.

    • You can filter to show only time entries linked to a specific invoice.

  • Budget Tracking: Add the Invoice field to your Budget (Time tab) view to see which invoices specific time entries are linked to. You can group or filter by invoice to understand how much of the tracked time has been invoiced.

Export Visibility

The Invoice field behaves differently depending on the export type:

  • Manager Export: The column is visible, showing all invoice references.

  • Client Export: The column is hidden and will not appear in the exported file.
