Understanding the Invoice Field in Reports, Budgets, and Projects

Use the Invoice field in budgets, projects, and time entry and expense reports to track which invoice contains specific time entries and expenses.

The Invoice field shows which invoice a time entry or an expense item has been added to. Use it to track invoicing status across time entries in reports, budgets, and projects.

The Invoice field only shows data for invoices created using the Uninvoiced Time and Expenses method. The field will be empty for time entries if:

  • the budget was invoiced using Total Amount, Remaining Amount, or Percentage of Total Amount

  • the budget was manually marked as invoiced

As a column it is available in:

  • Time Entries report

  • Expenses report

  • Budgets (Time tab)

  • Budgets (Expenses tab)

  • Projects (Time tab)

  • Projects (Expenses tab)

How to Add the Invoice Field

  1. Open a Time Entries or Expenses report, or the Time or Expenses tab in a budget or project.

  2. Click the Fields dropdown and select Invoice from the list. Once added, the column displays invoice information based on the invoice's current status.

What the Invoice Field Shows

What appears in the column depends on the invoice status:

  • Finalized invoice — the invoice number is shown as a clickable link (e.g., #11223349). Hover over it to see additional details like the subtotal and company name.

  • Draft invoice — the cell shows Not finalized. Hover over it to see the tooltip: "Invoice number will be displayed here after the invoice is finalized."

  • No invoice — the cell is empty: either no invoice exists, or the budget was invoiced using a method that doesn't link individual time entries and expenses.

📌 Invoice numbers are only assigned when an invoice is finalized. Until then, the field won't show a number.

Using the Invoice Field

Open an invoice: click the invoice number in the column to open it directly.

Group by invoice: group time entries to see how much time is linked to each invoice.

Filter by invoice: filter to show only entries tied to a specific invoice.

📌 This is useful in the Budget (Time tab) and Budget (Expenses tab) to see how much tracked time and expenses have already been invoiced.

Export Visibility

The Invoice field behaves differently depending on the export type:

  • Manager export: the column is visible and shows all invoice references.

  • Client export: the column is hidden and won't appear in the exported file.
