Managing Time Entry Submissions (Manager Guide) (Beta)

A guide for managers on tracking, approving, and managing submitted time entries.

Why Manage Time Entry Submissions?

As a manager, you're responsible for ensuring that employees submit accurate timesheets on time. You can track submission statuses, approve or reject entries, and submit on behalf of employees if needed.

Time entry submissions help you:

  • Get Cleaner, Reviewed Entries

    Employees double-check their timesheets before submitting, reducing errors and back-and-forth.

  • Plan Approval Workloads

    Instead of approving time entries throughout the week, you can handle them in batches. For example, if your team submits weekly, you can review everything each Friday.

  • Improve Forecasting and Reporting

    Knowing when to expect submissions helps you plan billing, reporting, and resource allocation more effectively.

Where to Review and Manage Submissions

You can manage timesheet submissions in two main areas:

1) Company Time

Great for reviewing full weekly submissions across the team.

  • Check who has or hasn’t submitted their entries.

  • Approve, reject, or submit on behalf of others.

  • Un-submit if changes are needed.

  • Add time entries for others and submit them if necessary.

📌 Note: This is the only place where you can add time and submit it on behalf of someone else.

2) Approval Inbox

Located in the top-left corner of the screen, next to the Notification Inbox.

  • Shows incoming time, expense, and absence entries that need your approval.

  • View submissions by day, by user, and by type.

  • Approve a full day or request changes.

  • Filter by person to focus on specific team members.

Tracking Submission Statuses

To see which employees have submitted their timesheets:

  1. Go to Time > Company Time.

  2. Click on an employee’s name to view their time entries and take action—approve, reject, or submit on their behalf.

Use the Timesheet Status filter to view:

  • Submitted – All expected entries for the week have been submitted.

  • Partially Submitted – Some days are still missing.

  • Not Submitted – Nothing has been submitted yet.

📌 Note: A timesheet is marked as "Submitted" only when the employee submits entries for all days in the week—including weekends and non-working days—even if they weren’t scheduled to work on those days.

Approving or Rejecting Timesheets

Once an employee submits their timesheet, you can review and approve it.

Approving Time Entries

  1. Go to Company Time or your Approval Inbox.

  2. Select the week and employee.

  3. Review the submitted time entries.

  4. Click Approve.

Approved entries are locked and cannot be edited unless unsubmitted by a manager.

Rejecting Time Entries

If corrections are needed, you can reject the submission:

  1. Open the employee’s submitted timesheet, either in Company Time or your Approval Inbox.

  2. Click the checkmark icon, select Request Changes and add a comment explaining the issue.

  3. The employee will be notified and can make changes before resubmitting.

Submitting or Un-submitting on Behalf of Employees

Managers can submit or un-submit timesheets for employees if necessary.

Submitting on Behalf of an Employee

  1. Go to Company Time.

  2. Find the week that hasn’t been submitted.

  3. Click Submit.

📌 Tip: You can also add time entries on behalf of an employee. Go to the Add Time tab, select the day(s), choose the service, and enter the worked time.

Un-submitting a Timesheet Entry

If a submitted timesheet entry needs corrections:

  1. Find the submitted time entry in Company Time.

  2. Click ⬆️ submission arrow, uncheck the day that needs to be resubmitted to return it to the employee.

  3. Un-approve the entry so the employee can make changes to the entry and resubmit it.
