Setting Up Time Entry Submissions

Learn how to enable time entry submissions, configure reminders, and manage permissions.

What Is Time Entry Submission?

Time entry submission ensures that employees formally submit their time entries for approval.

This adds structure to time tracking and allows managers to easily track submission status. Employees can review and finalize their entries (duration, description, linked tasks) before submitting them for approval.

Once enabled, employees can submit their time entries daily or weekly before they can be approved.

Submitting time entries for approval is available on the Ultimate subscription plan.

How Time Entry Submission Works with Time Approval

Time Entry Submission adds an extra step to the approval process, but it does not replace existing Time Approval settings.

If Time Approval is not enabled on a budget, time entries will still be automatically approved as soon as they are createdโ€”no submission required.

For customers on plans other than Ultimate, the standard approval flow remains unchanged: employees log time, and managers approve it directly.

Enabling Time Entry Submission

To enable the feature:

  1. Click your avatar in the upper right and go to Settings.

  2. Go to Time tracking.

  3. Scroll to Submit time entries for approval and toggle the feature ON.
    โ€‹

Configuring Submission Reminders

Once time entry submission is enabled, an additional Send a weekly reminder toggle becomes available. Turn it on to send automated email reminders to all employees on working days.

When enabled, set:

  • The time the reminder is sent

  • The day: either the last day of the current week or the first day of the next week

Excluding Certain Employees from Submission

Some employees, like managers or internal team members, may not need to submit timesheets. To exclude them:

  1. Open the Excluded from submitting menu.

  2. Click Add Person.

  3. Select the employees who donโ€™t need to submit timesheets.

  4. Click Save.

๐Ÿ“Œ Excluding a user from submission does not mean they cannot submit timesheets for others.

For example, a manager may not need to submit their own timesheet (e.g., if their time is non-billable) but can still submit timesheets for their team via Company Time view.

Permissions Overview

To manage timesheet submissions for other employees, a user needs the Add, edit, and delete budgets permission. This allows them to:

โœ”๏ธ Filter employees by submitted, partially submitted, or not submitted time entries.
โœ”๏ธ Submit or un-submit time entries on behalf of employees.
โœ”๏ธ Edit entries. Approved entries remain locked unless un-approved by the time entry approver.

By default, this permission is granted to:

  • Admins

  • Managers

  • Profitability Managers

Need to grant these permissions to other users? Create a custom permission set, adjust it as needed, and assign it to the users.
