Forecasting and Profitability Charts in Deals

Track and manage deals and profitability with detailed forecasting and profitability charts in Productive.

Forecasting charts help you understand how a deal is expected to perform financially, both at its current probability and once fully won.


They combine past activity with scheduled bookings, so you can compare expected revenue with the internal cost of pursuing the deal.

πŸ“Œ To get meaningful projections, make sure you schedule teammates on the deal’s services in the Resource Planner. Once bookings are in place, open the deal you want to review.

User Permissions

The information shown in the Overview tab, including charts and the Revenue, Time, and Cost sections, depends on each user’s permission level:

  • Profitability Managers and Admins – have full visibility into all charts, revenue details, time insights, and all cost and profitability data.

  • Managers – can see the deal value, expected and projected revenue, plus budgeted, estimated, and scheduled time. They don’t have access to cost or profitability information.

  • Staff and Coordinators – don’t have access to deals.

You can also create custom permission sets to grant access to specific financial information when needed.

Enabling the Forecasting Chart

  1. Open the deal.

  2. In the Overview section, select Show forecast chart (upper-right corner).

The chart expands directly in the Overview and shows three core elements:

  • Deal value (full potential revenue)

  • Expected and projected revenue by period (deal value Γ— probability)

  • Current and forecasted cost (labor + expenses, + planned future cost from bookings)

These values help you evaluate whether the deal is worth the investment and what earning potential looks like over time.

Cumulative and Per-Period Views

Before diving into the individual revenue and cost elements, it’s important to understand how the chart displays data:

  • Cumulative View – shows totals building over time. This is the default view and helps you understand long-term trends for both revenue and costs.

  • Per-Period View – shows revenue and cost for each individual period (month, week, etc.). This is useful for reviewing detailed, period-by-period expectations.

Both views take the projected revenue distribution settings into account. Values in the chart reflect how revenue is spread across periods according to your chosen settings.

Changing the Period and Granularity

Use the dropdown menus to change the scope and detail of the forecast:

  • Reporting Modes: Cumulative or Per-Period

  • Granularity: Year, Quarter, Month, Week, Fiscal Year, or Fiscal Quarter

  • Period Selector: Choose the exact period (e.g., Quarter β†’ Q1 or Week β†’ Week 12)

Both the chart and the values in the overview below update automatically to reflect the selected period and granularity.

Projected Revenue Distribution Settings

Projected revenue in the chart is calculated according to the projected revenue distribution selected for the deal:

  • Click the coins icon in the top-right corner of the deal to configure distribution.

  • Choose Even Distribution to spread revenue evenly across a selected period.

  • Choose Custom Distribution to define multiple periods with specific percentages.

πŸ“Œ In per-period view, the chart shows the exact projected revenue per period (based on your distribution settings), both at the current probability and at 100%.

If the deal probability changes, the chart updates projected revenue automatically, while keeping the chosen distribution intact.

Revenue Forecast

The revenue portion of the chart provides three key views:
​

1) Total deal value (green line)

Represents the full value of the deal at 100% probability. This is fixed and it doesn’t change by period.

2) Projected revenue (yellow bars)

Shows how much revenue is expected in each period, based on the current probability. If a deal is at 50% probability, the chart displays 50% of the value per period.

3) Expected revenue (transparent yellow bars)

These semi-transparent bars show how revenue would distribute per period if the deal were won today. This lets you instantly compare current projected earnings to full earning potential.

Cost Forecast

The cost portion of the chart shows how much you’re investing into pursuing the deal, both historically and in the future:

1) Actual cost (red line)

Represents the real cost logged so far, including time entry costs and expense costs. Represented by a red column in the per-period view.

2) Scheduled cost (transparent red line)

Based on Resource Planner bookings assigned to the deal. Shows expected spending for future periods. Visible only in the cumulative view.

πŸ“Œ Together, these cost lines reveal how much the deal costs to pursue versus how much it is expected to earn, in both cumulative and per-period perspectives.

Reading the Charts

Future periods in the chart are shown as forecasted data:

  • Red cost lines become dashed when representing scheduled (future) costs.

  • Hovering over a future point shows forecasted values for that period.
    ​

  • Clicking a point updates the financial snapshot below the chart.
    ​

πŸ“Œ For the selected period (this month, week, or quarter), clicking a point shows the value up to the end of that period.

When hovering over the current period, the popup label always shows the current date.
​

To confirm which period is being used for the calculations, check the dates displayed below the chart and in the upper-left selector. Switching back to "Today" updates the snapshot to reflect real-time values.
