Exporting the Gantt Layout View

Learn how to export your Gantt layout view as a PDF.

The Gantt Layout provides a visual timeline for tracking your project’s progress. If you need to save or share this view with people outside Productive—such as clients or stakeholders—you can export it as a PDF.

This also allows you to archive a snapshot of your project timeline at a specific moment, ensuring you have a record of tasks and dependencies as they were at that time.

However, note that Productive limits the export to the visible portion of the Gantt chart. Use zoom controls to adjust the view to fit critical details for exporting.

To ensure the snapshot captures all critical details, consider adjusting the zoom to focus on the desired timeframe of your project timeline.

How to Export the Gantt Layout View

To export your Gantt layout as a PDF:

  1. Open your project and switch to the Gantt Layout.

  2. Click the Export button next to the filters.

    📌 Don't forget to adjust the zoom controls (found in the upper right of the Gantt view) to ensure all critical details fit within the visible screen area. If your project spans extensively, consider segmenting the view into smaller parts for separate exports.

  3. Select Export as PDF.

  4. The file will open in a new tab for preview.

  5. Download the PDF to save it locally.

Key Considerations

  • All tasks are expanded in the export.

    Even if some tasks are collapsed in your Gantt view, the exported PDF will include all tasks. To refine what appears in the export, use filters instead of collapsing tasks.

  • Unsaved changes are included.

    If your view has unsaved changes, you will be prompted to save them before exporting. However, if you proceed without saving, the export will still capture the current Gantt layout.

  • Large projects may take longer to generate.

    The more tasks and dependencies in your project, the longer the export process may take.

  • The export reflects the current viewport.

    Adjust your zoom level and filters before exporting to ensure the PDF displays the information you need.

  • Workarounds for large projects.

    If your project spans a larger timeframe than fits within one screen, divide the project into smaller, focused timeframes, adjust the zoom, and export separately for each segment. You can then use a PDF editor to merge the exported files into a single comprehensive document.
