Updating Rate Cards Using Export and Import

Easily update rate cards by exporting them in import-ready format, adjusting rates, and reimporting them in Settings > Data Import.

When you need to update multiple rates at once—such as applying a price increase across your services—you can do so efficiently by exporting and importing rate cards in Productive.

Steps to Update Rate Cards in Bulk

Export the Existing Rate Card

  • For your company’s rate cards: Hover over your avatar, select My Company and then select Default Rate Cards.

  • For client-specific rate cards: Navigate to CRM > Companies > select a client company and then navigate to their Rate Cards tab.


  • Select the rate card you want to update, then click Export and choose Import format.

  • Click Export as CSV to download a file formatted for easy re-import.

Modify the Rates in the CSV File

  • Open the CSV file in a spreadsheet editor (e.g., Google Sheets).

  • Adjust rates as needed—apply price increases, update specific services, or rename the rate card for clarity.

  • Download the modified sheet as CSV.

Import the Updated Rate Card to Productive

  • Go to Settings > Data Import.

  • Upload the modified CSV file.

  • If you changed the name of the rate card while adjusting the service details, Productive will recognize this as a new rate card, keeping the original intact while adding the updated rate card alongside it.

Good to Know: Rate Card Naming and Saving Behavior

When updating rate cards, the rate card name you use in the import file determines how the rates are saved in Productive.

  • Keeping the same rate card name

    If you do not change the rate card name in the CSV, the updated rates will be added as new service line items within the existing rate card.

  • Using a new rate card name

    If you rename the rate card in the CSV, Productive will create a new rate card with the updated services, leaving the original rate card unchanged.

  • Splitting services across multiple rate cards

    You can assign different rate card names to individual service line items in the CSV. After importing, each rate card will be updated accordingly, and any newly named rate card will be created from the imported data.

This allows for flexibility when managing rate updates, whether you’re adjusting an existing rate card or creating a new one.
