Managing Access to the Task Workload Layout

Custom permission sets allow you to tailor access to the Task Workload Layout, enabling you to control who can view workload data.

Updated over a month ago

Productive offers customizable permission sets to help you control access to the Task Workload Layout within your organization.

These settings allow you to manage who can view the Workload layout, ensuring that the right users have the appropriate access.

Custom permission sets are available on the Ultimate subscription plan.

Setting Up Custom Permission Sets

1) Creating a New Permission Set

To begin, navigate to Settings > Permission sets and select + New permission set. This will allow you to build a tailored set of permissions that you can assign to your users.

2) Adjusting Permissions for Managing Access to the Workload View

In the Workload section, you can customize the permission to allow or restrict users from viewing the workload layout.

Note: There are dependent permissions to consider:

  • View tasks: Enables viewing tasks in Productive, essential to access the task Workload layout.

  • View projects where the user is a member: Enables viewing projects shared with the user, also necessary if the workload layout is needed.

3) Default Permission Sets

Productive includes system default permission sets, which provide a starting point (base permission set) when creating your custom permission set.

These default sets have pre-included permissions, making it easier to decide which base set to use.
Note: Contractor permission set cannot be adjusted with custom permissions.

By default, the Workload layout is visible to users with time-tracking permissions (this includes all users except clients), and no other special permissions are required.

4) Finalizing and Applying Permissions

Once you’ve configured the permissions, save your new permission set and assign it to the appropriate users.

Idea for Using This Permission

By default, the Workload layout is visible to all users except clients.

However, there may be instances where you want to hide the Workload layout from certain users within your organization.

Since the task Workload layout includes user Capacity and Availability details, you might prefer to keep this information hidden from certain users.
