Dashboards

Visually display your data on the home page. Create multiple dashboards and add widgets. Share dashboards with your team members.

The Dashboard is the first thing you see when you log in to Productive, which you can customize to have the most important data displayed at all times.

Dashboard sharing is available on the Professional and Ultimate subscription plans.

Creating a New Dashboard

To create a dashboard, click on the dashboards dropdown menu in the main navigation pane and select '+ Add New':

Note that you can have multiple dashboards and quickly switch between them. So for example, one dashboard can be related to invoicing metrics, one can be dedicated to revenue figures, and another can track your team's time off.

Sharing a Dashboard

A dashboard can also be shared with other users and/or teams. In the sharing options, you can also decide on the permission level for each person/group.
In the upper right corner, select Sharing options:


There are three levels of permissions on each dashboard:

  • Can view: User/group can only view the dashboard and cannot make any changes

  • Can edit: User/group can edit the dashboard (its widgets and layout)

  • Full access: In addition to view and edit rights, users/groups with this permission can also delete and share this dashboard

📌 Each user will only have access to the data that is allowed by their permission set.

📌 Certain widgets will appear as "restricted widgets" to users who do not have the necessary data access permissions!
📌 Users with view-only access can see all widgets (including Note widgets), but cannot edit them.

Switching Between Dashboards

Use the dropdown menu to switch between dashboards you’ve created or that have been shared with you.

Widgets

Widgets are the individual components that make up a dashboard. Each widget displays data from a specific source—like time entries, budgets, or tasks—and updates automatically every 60 seconds.

Adding a Widget

To add a widget, open the Widget dropdown in the upper right.

You can choose from three options:

  • Report: Build a widget from scratch using data sources like projects, tasks, bookings, time, budgets, deals, and more.

  • Note (Beta): Add a rich-text widget to leave explanations, write step-by-step guides, add useful links, or post messages for your team.

    Notes support text formatting, images, banners, quotes, tables, and hyperlinks—similar to Docs.

  • From template: Add predefined widgets categorized under My work, Organization, or Copy from Reports.

    📌 Only users with access to the Reports module (coordinators, managers, admins) will see the Reports category.
    📌 When a report is added as a widget, it becomes independent—editing the widget won't affect the original report in the Reports tab.

Editing a Widget

To edit a widget, click on the ✏️ icon:


From there, you can edit the widget's name, as well as use options you usually find in the reports: filters, grouping options, fields, and charts.

📌 Be sure to select Save after adjusting the information you'd like to see in the widget!

A widget can also be resized—to expand or shrink it, hover over its border and drag it to the desired spot.

Full-Screen View

A dashboard can be displayed in a full-screen view, making this a great option for everyone who has a lot of widgets and is looking for a better overview of their dashboard.

Click on the dashboard menu (...), and select Full-screen view. To exit the full-screen mode, hit ESC.

Missing X and Y-Axis Labels?

Widgets need to be at least 15 squares wide and 11 squares tall to show axis values. Try resizing if they're not visible.
