Tracking Absence Allocations with Reports

Create reports to monitor employee absence allocations like vacation or sick leave.

Using Absence Allocations as a data source in Reports, you can easily generate reports to monitor how many days off a person is entitled to per absence category. A typical scenario might involve checking the status of:

  • Vacations

  • Sick Leave

  • Maternity/Paternity Leave

  • Remote Work

Example Scenario

Let’s say government laws require 30 days of paid vacation, but your company policy allows for an additional 15 days of unpaid vacation.

To check the status of each teammate’s absence allocation, you can generate a report that shows this information clearly. To do so:

  • Navigate to the Reports tab and open the + Report dropdown.

  • Select From scratch.

  • Type in "Absence allocations" and select this data source.

  • This will generate a new report using absence allocations as a data source, which you can further modify using fields and filters, and then save to keep it handy.

Key Points

  • Duration vs. Usage:
    The start and expiration dates in the report refer to the duration of the absence allocation but do not indicate when the days will be used.

  • Bookings Report:
    If you want to know when someone will be taking their absence, you can create a separate report using Bookings as the data source. For example, setting the date filter to "this month" and the booking type to "absence" will generate a report showing who is scheduled to be away this month.
