Checking your Available Time Off

To view your current available entitlement(s) or time-off categories, access your profile by clicking on your avatar in the upper right corner and then navigating to the Time off tab.

Note that unlimited time-off categories will automatically appear there, under the Unlimited tab.

The limited time-off categories like "Half or Full Day Off" or "Vacation" (pictured below), will need to be added to your profile using the + Add new allocation option on the right.

If you don't see a certain time-off category (or the + Add new allocation button), please contact your account admin to ensure you're assigned the appropriate time-off categories!

Requesting Time Off

1) To request time off, go to the Time tab and select Book Time off.

Alternatively, select Book time off from your Time off tab on your profile screen.

2) In the time-off request calendar, choose the date range for your request and select the appropriate time-off category.


​3) You can also add a note and upload one or more attachments if you need to share any additional relevant information about the time-off request.

4) After making sure all the details have been added correctly, select "Request X days" in the bottom right.


The colors of the booked time off in your Time off calendar will correspond to the color chosen to represent the time-off category in the Time off settings!

Attachments

After being uploaded, the attachments are displayed in a new row in the Note field indicating how many files have been added. Clicking on this row opens the list of attachments, which can be viewed or removed as needed.

Attachments added to time-off bookings will appear in emails for all approval actions (requesting, approving, rejecting, and cancelling).

Note that attachments will be included in emails only if recipients have permission to access them (they are the booking owner/approver).

Tip: If you're unsure about which time-off category to choose, refer to the time-off category description ℹ️.

If descriptions are not available, make sure the account's admins add them in Settings > Time Off for easier navigation.

Time-Off Logs: Current and Past Time Off

Once you submit your time-off request, it will appear below your time-off calendar in the Current & upcoming time off section.

  • If your time off requires approval, the request will be sent to approvers and you'll see a "Pending" badge next to the time-off request. Upon approval, it will be marked as such.

  • If no approvers are set up, the time-off request will be automatically approved.

  • When requesting time off with an attached file, the attachments will be displayed in the Note column alongside your notes.

  • All requests with a pending status can be edited, allowing you to edit and remove the added attachments as well.

  • To cancel your request, open the three-dot menu next to the request and select "Cancel request". If you want to remove a time-off request from the past, you'll need to select "Show in Resourcing" and delete the booking form there or contact your Admin.

  • Within the log, you'll be able to quickly navigate to the time-off booking in Resourcing (accessed through the three-dot menu).

Time-off Requests and Resourcing

If there are no approvers, meaning the time-off booking/request is automatically approved, it will automatically be visible in Resourcing.

If you've enabled time off approval, any requested time off will be displayed in the People and Time off Resourcing sections (to enable viewing time off in the Projects section, turn on the "Show absences" toggle; more on this use case here).

However, the booking will stay in the pending or request stage and won't impact the person's availability until it's approved.


Once the time off is approved, the request will transition into a confirmed time-off booking in Resourcing, and your availability will be adjusted accordingly.
