Working With Report Data

Group, filter, pivot, switch currencies, and drill down into your report data in Productive.

Once you've built a report, use these tools to shape and dig into the data itself.

Grouping Data

To customize the metrics in your report or add your own, use the options located just above the displayed data.

Productive's Reports feature lets you group data by multiple categories. Click Group By and select the categories you'd like to group by. For example, group a time report by budget and service type for a more detailed analysis.

You can also group and sort by relationship fields from connected objects. These appear as separate labeled sections in the Group By and Sort dropdowns — for example, a Client section with fields like Country or City.

Third-level grouping adds one more layer of organization. For example, group a task report by Company > Project > Task Status to get a clear overview of task progress across all projects.

📌 When grouping is enabled, filters apply only to individual items within each group, not to the group totals themselves. A group stays visible as long as at least one item inside it meets the filter criteria.

Docking and Undocking Filters

By default, filters are docked above reports, but you can undock them to appear next to other options.

Once undocked, you'll also see the option to dock them back again.

Using the Pivot Table

Select Pivot By to pivot the report by specific columns, giving you a focused view of your data.

Switching Currencies

The Currency Switcher lets you display financial data in reports in any other currency, based on the exchange rate of a selected date.

After selecting the new currency, choose the date on which the rate should be applied.

This adjustment only affects the display currency and data within the report — it leaves the default currency unchanged.

Drilling Down Into Data

Click directly on a data segment within a report — such as a cost value in a table, a bar in a bar chart, or a segment in a pie chart — to open a drilldown table. This shows a more detailed view of how the data was calculated.
