Setting a Default Payment Reminder Template for Clients

Set a payment reminder template on one or more clients so reminders are added automatically whenever you send them an invoice.

If you set a payment reminder template on a client, reminders are added every time you send that client an invoice. This is useful for clients you always follow up with, because you no longer need to tick the option on each invoice.

When a client has a template, the Add payment reminders from template option is already ticked and the client's template is selected when you send an invoice. You can still switch to another template or untick the option on any individual invoice.

Payment reminders are available on the Professional and Ultimate subscription plans.

Setting a Template for One Client

  • Go to CRM > Companies and open the client

  • In the Info tab, find Default financial settings

  • Select a template in the Payment reminder field

Setting a Template for Multiple Clients

  • Go to CRM > Companies

  • Select the clients you want to update

  • Use bulk edit to set the Payment reminder field

📌 Example: You invoice 40 retainer clients every month and always follow up on late payments. Select all 40 on the Companies list and set Standard reminders in bulk. Reminders are then added to every invoice you send them from now on.

Removing a Client's Template

Clear the Payment reminder field on the client. The reminders option then stays off when you send them an invoice, and your organization default is selected if you tick it.

Reminders already scheduled on sent invoices aren't affected. To stop them, manage them on the invoice.

Using the AI Assistant

You can ask the AI Assistant to set or clear a payment reminder template on one or more clients.

📌 When the AI Assistant sends an invoice, it doesn't add the client's reminders automatically. That's different from sending in the app, where the client's template gets pre-ticked. With the Assistant, you ask it to add the reminders as a separate step.
