Bookings on tasks let you schedule work at the moment you define it. Instead of creating a task and then switching to the Resource Planner to book time separately, you can create bookings directly from the task itself.
The booking options and rules are the same as when creating high-level service bookings from the Resource Planner, including service selection, allocation types, and confirmation status.
The difference is that the booking stays linked to the task, making it easier to track planned work and keep schedules aligned.
👉 If you're on a project's Resource Planning tab, you can also drag a task straight onto a person's schedule to create the same kind of booking — see Booking Tasks from the Project Resourcing Tab.
Before You Start
To use bookings on tasks:
Enable the Schedule people on tasks toggle in Settings > Resourcing. This setting allows tasks to appear in the Resource Planner through linked bookings.
Make sure you have permission to create bookings (Add, edit, and delete budget bookings)
The task must belong to a project with available services (belonging to linked budgets or deals)
Creating a Booking From a Task
You can create a booking directly from a task when planning work.
Open the task and click Add booking, either the icon in the task header or the button in the Bookings tab.
Both open the same booking form, prefilled with the service, assignee, and date range from the task, so there's minimal additional input needed.
Check and, if needed, adjust the booking details (service, person, allocation) and click Create booking.
📌 Allocation defaults to the task's initial estimate and can be adjusted. Note is optional and left blank by default. Bookings are confirmed by default; toggle to tentative if needed.
The Bookings tab shows three scheduling badges for the task: Total Scheduled, Future Scheduled, and Unaccounted/Unscheduled Time.
👉 See Task Scheduling Badges Explained to understand what they mean, including how they compare to the service's own badge.
When creating a booking from a task, you'll see the same options available as when creating a booking from the Resource Planner.
These include:
Service: must belong to a budget or deal linked to the project.
Person: any project member or placeholder.
Date range: prefilled if the task has start and due dates.
See How Task and Booking Dates Stay in Sync for how the two stay aligned.
Allocation type: Total hours, Hours per day, or Percentage of the person's capacity (as defined in their cost rates).
Booking status: confirmed or tentative.
📌 For the best experience, assign a service to the task before creating a booking. The booking form will then prefill the service, assignee, and, if a time estimate exists, the allocation hours automatically.
