Using Productive AI to Generate Reports

Let Productive AI help you build reports. Just describe the data you need, and AI will generate a report with relevant fields and filters.

AI Reports let you generate new reports in seconds. Just describe the data you want to see, and Productive AI will do the rest.

You can start from a suggested prompt or type your own. Once the report is generated, you can fine-tune it and save it like any other report.

📌 The only prerequisite is that Productive AI must be enabled by your account admin in Settings > Productive AI.

Creating an AI Report

To get started, go to the Reports section and click the AI Report button in the upper right corner.


You’ll see a prompt field asking: “What data would you like to see?” You can:

  • Choose one of the three suggested prompts to test it out

  • Or write your own custom prompt

Be as specific as possible. The more detail you include about what you want to see, and how you want it filtered, grouped, or sorted, the more accurate the result.

📌 Example prompt:
Profitability by company in the last year, sorted descending and shown as a chart

Once ready, click Generate Report. Productive AI will automatically pick the relevant data source (e.g. tasks, time entries, deals) and generate a report based on your input.

Tweaking the Results

After the report is created, you can:

  • Add or remove fields

  • Apply additional filters

  • Change grouping, sorting, or visualization

Then, save the report just like any manually created one.

What Happens When You Click 👍 or 👎?

At the top of the generated report, you’ll see a short question: “Did you get the report you wanted?”

  • If you click 👍, we save the structure of that report (filters, groups, visualization, etc.) to improve future responses to similar prompts.

  • If you click 👎, our team reviews what went wrong. We add the corrected version to our internal training set to improve the AI over time.

Tips for Writing Better Prompts

For best results:

  • Use complete sentences, as if you’re explaining your needs to our Support Team

  • Mention specific fields, filters, and visualizations if you know them

  • Use Productive terminology (e.g. “group by company,” “filter by date,” “sort descending”)

You don’t need to specify grouping, but if you want a particular structure, make sure to mention it clearly. Words like "by" or "segment" often trigger grouping automatically.

“Show me profitability” → Too vague
“Show me profitability by company for the last year, sorted descending” → Clear and detailed

Prompting in Different Languages?

You can use any language when writing prompts. While English is preferred internally for performance evaluation, there are no language limitations for end users.

Daily Usage Limits

  • Trial plans: Up to 10 AI prompts per day

  • Paid plans: Up to 100 AI prompts per day

Privacy and Training

No customer data is ever shared with third parties or used to train external models like GPT. We use an internal evaluation dataset to improve AI-generated reports, but it does not include or expose any user data.
