Monitoring Invoice Drafts and Finalized Invoices

Track invoice drafts and finalized invoices using reports, dashboards, and budget views.

Monitoring Invoice Drafts

You can monitor your invoice drafts by creating custom reports—an effective way to track which drafts are pending finalization and any adjustments made along the way.

Once your reports are ready, you can add them to your dashboards for quick, at-a-glance insights.

You can also track draft invoice amounts directly from the Budgets screen.

1) Budgets Screen

To see the total value of draft invoices across all budgets, go to Financials > Budgets.

Add the Draft invoices amount field to your view to quickly identify budgets with unfinalized invoices.

📌 You can also apply filters to show only budgets containing draft invoices.

2) Creating Reports from Scratch

When building a custom report, use Invoices or Invoice Line Items as data sources.


This lets you see draft invoice details like:

  • Total amounts (with and without tax)

  • Invoice states (Draft vs Finalized)

  • Invoice statuses (Draft, Paid, Unsent, Overdue, Not Overdue)

  • Invoice dates and due dates

  • Associated clients

  • Line item details

📌 Use the Invoice State filter to focus only on invoices in the “Draft” state.

📌 You’ll also see an Invoice Status filter. This is useful for tracking granular statuses like Paid, Unsent, Overdue, or Not Overdue—but it does not include the “Finalized” state. Use Invoice State when comparing Draft vs. Finalized invoices.

3) Using Report Templates for Invoicing

For a faster setup, use Invoice Report Templates. These give you a ready-made starting point for tracking your invoicing progress, while ensuring consistency in how reports are structured.

4) Pulling Reports to Your Dashboards

Once your report is saved, add it to your Dashboard via: + Widget > From Template > Copy from Reports.


This keeps draft invoice data visible without opening individual reports or budgets.

You can then edit the widget by selecting the pencil icon in the upper-right corner—rename it, add or remove fields or grouping options—without affecting the original report.


📌 Tip: Create a dedicated Invoicing Dashboard to organize all your invoice-related widgets in one place.

Monitoring Finalized Invoices

Once an invoice is finalized, you can continue tracking it using the same tools available for drafts.

This provides full visibility across Dashboards, Reports, and the Budgets screen.

1) Budgets Screen

In the Budgets screen, add fields like:

  • Invoiced (amount)

  • Invoiced %

  • For Invoicing

  • Invoiced Rate

This helps you quickly assess billing progress per budget.

📌 Tip: Combine with fields like Revenue to get a full financial overview.

2) Creating Reports for Finalized Invoices

Use Invoices and Invoice Line Items as data sources to build reports showing:

  • Finalized invoice amounts

  • Payment statuses (Paid, Partially Paid, Unpaid)

  • Outstanding balances

📌 Group and filter your data by company, invoice, or invoice issuer for clearer insights.

📌 Like with draft reports, use Invoice State to track finalized vs draft invoices, and Invoice Status for more detailed lifecycle info.

3) Using Report Templates for Finalized Invoices

Invoice report templates can also be used for finalized invoices. These include pre-configured views for:

  • Total invoiced amounts

  • Payment tracking (Payments category)

  • Overdue invoices

You can fully customize templates to match your reporting needs.

4) Pulling Reports to Your Dashboards

Once you’ve created and saved your reports, go to your Home tab and use:

+ Widget > From Template > Copy from Reports.

Select the report you want, and it will appear directly on your dashboard.

📌 As mentioned earlier, you can set up a dedicated Invoicing Dashboard to track both draft and finalized invoices, as well as payments in one place.
