Importing Data from Harvest to Productive

Learn how to import your data from Harvest into Productive, including details on what data can be imported.

Important Notes Before You Start

Data Import Limitations

  • Only projects edited within the last 365 days and time entries from the previous three months will be imported.

  • Due to differences in budgeting models between Harvest and Productive, financial data will be recalculated during the import. For details on financial data recalculations, learn more here.

How to Import Data from Harvest

1) Access Data Import Settings

  • Navigate to Settings and select Data Import.

2) Start the Import Process

  • Click Import Data next to the Harvest icon.

3) Authorize Access

  • Sign in to your Harvest or Forecast account. Select Authorize app to allow Productive to access your account.

4) Review Data to be Imported

  • On the next screen, review the data that will be imported into Productive. Explanations for each data type will be provided.

5) Proceed with Import

  • Click Import Data to begin the import process.

Imported Data Details

  • Users: Users will be imported as inactive. To convert them to active users, you need to invite them to Productive.

  • Projects: Only projects edited within the last 365 days will be imported.

  • Tasks: Tasks from Harvest will be mapped to Services in Productive.

  • Cost Rates: Imported as part of the financial data.

  • Time Entries: Only time entries from the last three months will be imported.

  • Companies and Contacts: Imported as available data.

  • Expenses and Invoices: Not available for import at the moment.

Monitoring the Import Process

  • A notification will appear indicating that your data is being imported. You can close this notification and let the import continue.

  • The import status will show as Processing. Once completed, you will receive an email confirmation and the status will update to Finished.>

  • πŸŽ‰ Congratulations! Your data from Harvest has been successfully imported into Productive.

Reverting an Import

  • To revert an import, click the arrow next to the import status. Note that you can only revert an import within 14 days of completion.

  • Only one active import is allowed at a time. If you need to create a new import, you must revert the existing one first.

FAQ

Q: Are users without access to Productive subject to charges?
Yes, users without access are considered paid users and will require seats.

Q: Will the seat count automatically increase after the import?
No, the seat count remains the same. Imported users will be "virtual" until you invite them, making them regular users.

Q: What if I have more users than available seats?
The import will fail if the number of users exceeds available seats. You need to increase your seat count to match the number of imported users.

Q: Can I import older projects or more than three months' worth of time entries?
For importing older data, a custom import is needed. Contact us via the in-app chat to discuss the next steps.
