Customizing Your AI Assistant (Beta)

Give your AI Assistant an avatar, keep your instructions in one place, and set up triggers so it can work for you on its own.

The AI Assistant is your helper across Productive. Ask it questions, have it find information, or get it to take care of work in your projects, tasks, and deals.

You can also make it your own. Give it an avatar, tell it how you like to work, and set up triggers so it takes care of things on its own, on a schedule or when something happens in Productive.

Where to Find It

You can open your assistant’s settings in two ways:

  • Go to Settings > AI Assistant.

  • In the AI Assistant, open Settings in the chat input and select Personalization.

Customize

To change your assistant's avatar:

  1. Pick one of the preset avatars.

  2. Click Save.

The avatar appears in the chat header and in the assistant picker.

Instructions

Instructions tell your assistant how you like to work: how to address you, the tone to use, or how to format responses. You can write up to 10,000 characters.

👉 For a more detailed look at writing instructions and how they work, see AI Assistant: Custom Instructions.

📌 Click Check with AI to have the AI Assistant review your instructions, even before you save. It flags anything it can't do with its tools, connectors, and permissions, and suggests a corrected version.

📌 Your assistant also learns about you as you chat (Beta). Instructions are the rules you write and want followed in every conversation, while memory holds the details it learns about you and your work over time.

👉 To learn more, see AI Assistant: Memory.

Triggers

Triggers let your assistant run on its own, on a schedule, or when something happens in Productive, such as a task being created or assigned to you. Each trigger runs as you, with your permissions.

Your triggers are private. Only you can see them, and they don't appear in Settings > Automations.

📌 Anything your assistant writes, such as a comment or a task, is visible to everyone who can see that item, even if it used information they can't access.

👉 For setup and the full list of differences, see Setting Up Triggers for Your AI Assistant (Beta).

Your assistant or an agent?

Agents can run on triggers too, but they work differently:

Best for

Your own routines: your tasks, your projects, your deals

Shared, recurring work that shouldn't depend on one person's access
